About NPHC Census:
Uganda Bureau of Statistics (UBOS), a semi-autonomous body, will be implementing the enumeration exercise of National Population and Housing Census (NPHC) 2024 from 10th May 2024 to 19th May 2024 with the night of 9th May 2024 as the Census Night in accordance with the Uganda Bureau of Statistics Act 1998, to promote the production of reliable official statistics and ensure the development and maintenance of the National Statistical System. The Census results will provide bench-mark socio-demographic data at all administrative levels necessary for general administration and the planning process.
Job Summary: The Administrative Assistant will provide day to day administrative and logistical support and data management services support to Administration Department.
Key Duties and Responsibilities:
- Open and close the processing center.
- Supervise the cleaners at the processing center.
- Provides any other administrative support to ensure efficient operations at the processing center.
- Maintain physical and digital filing systems.
- Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
- Coordinates logistics for meetings, including room setup and catering.
- Operates and maintains office equipment at the data processing center, including printers 86 copiers
- Works with maintenance staff and outside vendors to ensure equipment at the data processing center is in good working order and supplies are always on hand.
- Works closely with other administrative staff and supports other colleagues in providing them with drinking water and tea.
- Undertake regular inspection of the furniture and fittings and reports to the officer in charge.
Qualifications, Skills and Experience:
- The applicant should have a Diploma in Business Administration, Public Administration or related field
- One year of administration-related work experience
- Computer literacy skills i.e. proficiency in Microsoft Office applications (MS Word, MS Excel and Powerpoint)
- Ability to multi-task
- Interpersonal skills
- High team ethic
- Excellent communication skills
- Excellent planning skills
- Good organisational skills
