About US:

Graphic Systems Uganda is the largest printing & packaging company in Uganda. It supplies indoor and outdoor print advertising collateral, commercial printing, cartons, labels and promotional items. In addition the company manufactures corporate wear and garments. Product line: Commercial Printing (books, posters, flyers, carnets), Large Format printing (billboards, pull up banners, tear drops), Garmenting (corporate uniforms, customized t-shirts, polos, overalls) and promotional giveaway items (USBs, mugs, agendas, etc.)

Job Summary:  The primary objective is to manage the ordering process and be responsible for ensuring timely orders and deliveries of materials and services in order to ensure that requirements are met. They should also ensure that they secure the best prices for the products. He/she must be a dedicated and goal oriented professional with extensive technical skills and eager to apply his/her experience towards supporting company goals.

Key Duties and Responsibilities:

The employee will be tasked to execute the following duties;

Procurement:

• Preparation & submission of local purchase orders in the system.
• Ensuring order confirmations are received from raw material suppliers.
• Material follow up against pending local purchase orders.
• Sea & Air shipment tracking and report review on weekly basis
• Savings generation in raw material purchase and saving report generation on monthly basis.
• Coordination with agents for government queries.
• Procurement of maintenance items form local and import suppliers.
• Sample arrangement/procurement for in house trials.
• Emergency procurement coordination for raw material and maintenance items.

Logistics:

• Negotiation with transporters, agents to finalize freight cost for inward and outward logistics.
• Evaluate & develop new transporters and freight forwarders.
• Saving generation in outward and inward freight cost.
• Responsible for commercial finalization & contract/agreement with transporters.

Qualifications, Skills and Experience:

• The Logistics & Emergency Procurement Executive should hold a Bachelors Degree in Procurement, Logistics & Supply Management.
• Three to four years of experience in a busy environment preferably in the manufacturing sector.
• Age: Above 30 years
• Citizen: Preferably Ugandan Nationality.
• Linguistic skills: Fluent in English (Spoken & Written)

Key Skills:

• Experience & knowledge of procurement processes.
• Excellent communication and analytical skills.
• Must possess strong negotiation skills.
• Ability to work under pressure.
• Must have strong sourcing skills.
• Must have working knowledge of accounting software like ERP/SAP.
• Must be ethical and have a good relationship with suppliers.
• Must have Contract Management skills.
