Graphic Systems Uganda is the largest printing & packaging company in Uganda. It supplies indoor and outdoor print advertising collateral, commercial printing, cartons, labels and promotional items. In addition, the company manufactures corporate wear and garments.
Job Summary: The Human Resource Officer will be responsible for identifying staff training & development needs and for planning, organizing and overseeing appropriate training and performance management.
Key Duties and Responsibilities:
- Promote the company’ values and compliance with ethics at all levels.
- Provide support to management and all employees in the absence of HRM.
- Provide support to recruitment process from advertising and screening applications.
- Represent HRM during interviews depending on the level of positions advertised and preparing selection recommendations.
- Coordinate and manage new employee orientation and on boarding.
- Perform Background checks and contact applicant references for certain positions.
- Supervise all internship programs within the company.
- Monitor & supervise all government programs related to recruitment.
- Supervise and monitor signing of employee contracts.
- Work with management and all employees in building a positive and friendly work environment while monitoring levels of absentiseem and turnover.
- Manage the Learning & Development process from identifying training needs, providing access to training & development, evaluating and assessing the impact of trainings done and maintaining records of all trainings done.
- Support Learning & Development initiatives by liaising with the trainers to organize and coordinate workshops and seminars for employees.
- Monitor and supervise all government skills development programs, in conjunction with HRM.
- Help managers develop team members through career pathing.
- Track budgets and negotiate contracts.
- Coordinate and assist employees to acquire TINS, Bank Accounts & Nssf Accounts.
- Handle physical visits of expats to government institutions.
- Perform all Human Resource administrative duties.
- Maintain proper record of leaves, update job requirements and all employee files.
- Ensure smooth communication with employees and timely resolve their issues.
- Provide support in compiling documents for all company audits and surveys.
- Provide support in compiling statistics demanded by external partners & Government agencies.
- Monitor time and attendance of all employees.
- Monitor all leaves, and ensure that all Ugandan staff consume at least 15 days leave in a year (when due).
- Handling hotel bookings in Uganda for visitors/consultants
- Handling ticketing and booking flights for all visitors and expat employees going on leave.
- Participate in handling employee disciplinary issues and grievances.
- Provide support in all aspects related to the medical insurance cover for employees.
- Represent the company in Corporate Social Responsibility (CSR) activities.
- Coordinating and monitor all welfare related activities of the company.
- Work hand in hand with occupational health and safety committees.
- Participate in the worker’ committee.
- Support and participate in performance management processes.
- Ensure smooth implementation of the appraisal process and draft performance appraisal reports.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree in Human Resources. Certification or Qualification in Training & Development and Performance Management will be an added bonus.
- Work experience in HR role of at least 6 years in a busy environment preferably in the manufacturing sector.
- Experience in Training and Performance Management.
- Must be organized and efficient in daily tasks.
- Excellent Communication Skills.
- Ability to multitask, prioritize and manage time efficiently.
- Self-motivated, self-driven with a problem solving attitude.
- Must be encouraging to the staff, able to mentor, coach and lead.
- Must have people person skills and a professional attitude.
- Excellent computer skills, knowledge of HRIS, Excel and demonstrated skills in database management.
- Derives satisfaction from being highly responsive and timely handling of issues.
- Ability to work independently and calmly under pressure.
- Citizen: Preferably Ugandan National
- Linguistic skills: Fluent in English (Spoken/Written)
- Age: Preferably above 30 years
