Breco Building Contractors is a a growing construction and civil engineering firm.
Job Summary: he Administrative Assistant will manage day-to-day office tasks, handle key construction project documentation (such as local permits, subcontracts, and delivery logs), track inventory, and serve as the primary link between the corporate office, site engineers, sub-contractors, and regulatory bodies like KCCA, UNRA, or NEMA. A critical component of this role involves assisting the estimating and engineering teams in the assembly, packaging, and submission of formal tender bids.
Key Duties and Responsibilities:
- Bid Preparation & Tender Support
- Assist the project and estimating teams in gathering statutory documents required for bid submissions (e.g., PPDA certificates, URA tax clearances, NSSF compliance, and trading licenses).
- Coordinate the printing, photocopying, structural sorting, binding, and sealing of large-scale technical and financial proposal documents.
- Review tender checklists to ensure all mandatory attachments, CVs, past project references, and equipment logs are complete prior to submission.
- Monitor public procurement portals and media outlets for new Expression of Interest (EOI) notices and Invitation for Bids (IFB).
- Maintain an accurate calendar of bid closing dates and ensure physical delivery of tender documents to client offices within strict deadlines.
- Office & Reception Management
- Manage the reception area to ensure a highly professional and welcoming environment for clients, partners, and inspectors.
- Oversee the company call centre, answer incoming phone inquiries, and monitor general corporate emails.
- Route incoming communication to appropriate site managers, surveyors, or executive team members.
- Document Control & Record Keeping
- Organize and safely maintain physical and digital filing systems for blueprints, structural plans, and engineering contracts.
- Process incoming and outgoing mail, maintaining an accurate, signature-tracked delivery logbook.
- Photocopy, scan, print, and bind priority project tenders, bids, bills of quantities (BOQs), and manuals.
- Financial & Meeting Coordination
- Manage internal office utilities, petty cash entries, and process routine administrative invoices.
- Organize internal project reviews, take detailed minutes of meetings, and follow up on actionable targets.
- Arrange boardroom schedules and set up necessary multimedia equipment prior to stakeholder meetings.
Qualifications, Skills and Experience:
- Education: An Honors Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, Procurement, Project Management, or a related field.
- Experience: A minimum of 2 to 3 years of experience in a fast-paced office administration role. Direct experience helping with tender assembly or working within the construction, logistics, or engineering sectors in Uganda is highly desirable.
- Technical Skills: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experienced with cloud storage platforms (Google Drive, OneDrive). Prior exposure to construction management tools is an added advantage.

- A strong team player who is proactive and comfortable working under tight deadlines.
- Familiarity with local business protocols and regulatory workflows in Uganda.
