Job Summary: The role involves identifying suppliers, obtaining quotations, negotiating prices, processing purchase orders, and ensuring timely delivery of procured items.
Key Duties and Responsibilities:
- Receive and review purchase requisitions from different departments.
- Source and identify reliable suppliers for goods and services.
- Request and compare quotations from different suppliers.
- Negotiate prices, payment terms, delivery schedules, and other purchasing conditions.
- Prepare and process purchase orders and procurement documentation.
- Ensure all purchases are properly authorized before procurement.
- Follow up with suppliers to ensure timely delivery of goods and services.
- Verify the quality, quantity, and specifications of delivered items.
- Maintain accurate and up-to-date procurement records and supplier information.
- Develop and maintain good working relationships with suppliers.
- Monitor supplier performance and address delivery or quality issues.
- Support the evaluation and selection of new suppliers.
- Ensure procurement activities comply with company policies and procedures.
- Monitor stock levels and coordinate with relevant departments to avoid shortages.
- Work closely with Finance and other departments to ensure proper payment processing.
- Assist in managing contracts and agreements with suppliers.
- Prepare regular procurement reports for management.
- Maintain confidentiality of company procurement information and supplier pricing.
- Identify opportunities to reduce procurement costs while maintaining quality.
- Perform any other procurement-related duties assigned by management.
Qualifications, Skills and Experience:
- Masters in procurement and logistics is an added advantage. or a related field.
- Professional procurement qualification such as CIPS is an added advantage.
- At least 7 years of relevant procurement experience , preferably in a similar industry.
- Good knowledge of procurement procedures and supplier management.
- Experience in negotiating with suppliers and evaluating quotations.
- Computer literacy, particularly in Microsoft Excel, Word, and procurement/accounting systems.
