TPO Uganda is a local Ugandan NGO that has been operating in the country for 27 years. Our programs comprise interventions organised around the following themes: Mental Health and Psychosocial Support Care and protection of OVC; child protection, livelihoods support, response and prevention of all forms of violence against women and children as well as emergency response and humanitarian action. TPO Uganda is active in over 45 districts in the region and is a member of several partnerships and coordination mechanisms in the country.
Job Summary: The People & Culture Locum Assistant will provide administrative and operational support to the People & Culture function, contributing to the effective and timely implementation of employee lifecycle processes and day-to-day P&C activities.
The role will support areas including recruitment, onboarding, personnel records, contracts, performance management, staff welfare, employee engagement, HR documentation and maintenance of P&C records and trackers, while ensuring confidentiality and compliance with organizational policies and procedures.
Key Duties and Responsibilities:
- The successful candidate will be responsible for, among others:
- Supporting recruitment and selection processes, including preparation of job advertisements, shortlisting, interview arrangements and onboarding.
- Supporting the preparation and processing of employment contracts, extensions, renewals and related documentation.
- Maintaining accurate and up-to-date employee records and personnel files.
- Supporting onboarding, induction and separation processes.
- Maintaining P&C trackers, databases and records and ensuring timely follow-up of key employee lifecycle actions.
- Supporting performance management processes, including probation reviews and performance appraisals.
- Supporting staff welfare, engagement, learning and development, recognition and other employee experience initiatives.
- Assisting with the implementation of P&C policies, guidelines, procedures and tools.
- Providing timely administrative support to staff and supervisors on routine P&C processes and documentation.
- Supporting the preparation of P&C reports, correspondence and other documentation.
- Ensuring confidentiality and proper handling of employee information.
- Supporting compliance with TPO Uganda policies, procedures, safeguarding standards and applicable labour requirements.
- Performing any other P&C duties assigned by the supervisor.
Qualifications, Skills and Experience:
Applicants should have:
- A Bachelor’s degree in Human Resources Management, Human Resource Development, Business Administration, Industrial Relations or a related field.
- At least 1–2 years of relevant experience in Human Resources/People & Culture, preferably within an NGO or development organization.
- Practical experience in HR administration, recruitment, employee records, contracts and other employee lifecycle processes.
- Good knowledge of HR policies, procedures and employment practices.
- Good communication, interpersonal and organizational skills.
- High levels of integrity, confidentiality and attention to detail.
- Proficiency in Microsoft Office applications; familiarity with HRIS systems is an added advantage.
- Ability to work collaboratively with staff at different levels of the organization.
