Job Title: Receptionist

Duty Station: Lugazi, Uganda
Job Summary: To provide a warm, professional, and efficient first point of contact for visitors, employees, and external stakeholders. The Receptionist will manage the front desk, support administrative functions and uphold the company’s image through excellent customer care and communication.
Key Duties and Responsibilities:
- Serve as the face of the Company, offering friendly service to those entering the building or calling in over the phone
- Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within the message system
- Receive visitors courteously, verify their purpose and direct them appropriately.
- Maintain a tidy, organized, and welcoming reception area.
- Manage visitor logs, issue visitor passes, and ensure compliance with security protocols.
- Provide timely information to staff, clients, service providers and other stakeholders.
- Handle inquiries, complaints and requests with professionalism and tact.
- Receive, sort and distribute mail, deliveries and packages to the recipient in a timely manner while also managing outgoing mail and packages for pickup.
- Assist with filing, documentation, photocopying, scanning, and other clerical tasks.
- Schedule meeting rooms and support preparation for internal meetings when required.
- Assist the HR and Admin teams in coordinating staff welfare activities, appointments and documentation.
- Maintain updated records of visitors, suppliers and service providers.
- Keep accurate logs of telephone calls, messages and front‐desk activities.
- Present a professional, well-groomed appearance consistent with the company’s customer service standards.
- Uphold confidentiality and handle sensitive information with discretion.
Qualifications, Skills and Experience:
- Diploma in Business Administration, Secretarial Studies, Front Office Management, or related field.
- At least 2 years’ experience in a front-office or customer service role, preferably in a busy or industrial environment.
- Proficiency in MS Office (Word, Excel, Outlook).
- Knowledge of switchboard operations is an added advantage
