Job Summary: The Order Entry Officer is responsible for ensuring accurate entry and processing of customer orders in the system while supporting the smooth administrative flow of dispatch operations. The role plays a critical part in maintaining system accuracy, documentation compliance, and coordinating truck flow at the plant to ensure timely and efficient product dispatch.
Key Duties and Responsibilities:
- Order Processing and System Management
- Accurately capture and process customer orders in the company system.
- Verify order details including product specifications, quantities, delivery details, and customer information.
- Ensure all order entries are correctly reflected in the system to maintain accurate inventory and dispatch planning.
- Monitor and update order status in the system to ensure visibility for relevant departments.
- Support the correction of order entry errors and maintain high levels of data accuracy.
- Verifying and confirming recorded weights and checking them against ERP registrations.
- Signing and stamping weighbridge and loading documents to confirm that the recorded weights and truck movements are correct.
- Dispatch and Truck Flow Coordination
- Support coordination of truck arrivals and departures at the dispatch area.
- Ensure trucks are scheduled and processed efficiently to avoid delays and congestion at the plant.
- Communicate with warehouse, production, and logistics teams to ensure readiness of orders for loading.
- Assist in maintaining orderly truck flow within the facility.
- Documentation and Compliance
- Prepare and verify dispatch documentation including delivery notes, invoices, and loading documents.
- Ensure all dispatch documentation is complete, accurate, and compliant with company procedures.
- Maintain organized records of orders, dispatch documentation, and transport records.
- Support internal and external audits by ensuring documentation is properly filed and accessible.
- Administrative Support
- Provide administrative support to the logistics and dispatch team.
- Assist in tracking daily dispatch volumes and order fulfillment.
- Respond to internal queries related to order status or documentation.
- Support continuous improvement initiatives related to order processing and dispatch operations.
Qualifications, Skills and Experience:
- Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- At least 2 years of experience in order processing, logistics coordination, or administrative roles in a manufacturing or distribution environment.
- Experience working with ERP systems is an added advantage.
- Skills and Competencies
- Strong attention to detail and accuracy.
- Good organizational and administrative skills.
- Ability to coordinate multiple tasks in a fast-paced environment.
- Strong communication and teamwork skills.
- Basic knowledge of inventory and dispatch processes.
- Proficiency in Microsoft Office applications.
