Habitat for Humanity Uganda (HFHU) is affiliated to Habitat for Humanity International (HFHI) headquartered in Atlanta – Georgia (U.S.A); and is an ecumenical Christian ministry that is dedicated to eliminating poverty housing. HFHU functionally reports to HFHI’s Europe Middle East and Africa (EMEA) Area Office in Pretoria – South Africa. Over the last 10 years, Habitat for Humanity Uganda has rehabilitated and constructed over 24,000 houses, transforming over 144,000 lives across the country. Our country program has 5 field offices located in Kumi, Mayuge, Lugazi, Luweero, and Fort portal.

Job Summary: The Grants Accountant supports the Finance & Operations Manager in the implementation, monitoring, budgeting, and reporting of donor-funded projects. The role ensures compliance with Habitat for Humanity Uganda (HFHU) policies and donor regulations, manages day-to-day grant financial operations, and coordinates with internal and external stakeholders to maintain accurate financial and programmatic reporting. The position contributes to the efficient management of grant funds and strengthens HFHU’s internal controls environment.

Key Duties and Responsibilities:

  • Grant Coordination and Stakeholder Management
  • Ensure all relevant stakeholders understand grant terms, program deliverables, and reporting requirements.
  • Communicate ongoing grant information to stakeholders.
  • Provide tools and guidance for grant management, including:
  • Annual project work plans/Gantt charts o Reporting calendars and templates o Partner MOUs and agreements o Due diligence assessments for prospective partners
  • Budget development, review and Monitoring
  • Develop grant/project budgets align with work plans and donor guidelines.
  • Verify correct budget coding in financial systems (SunSystems) for tracking and reporting.
  • Provide timely feedback to donors, Finance & Operations Manager, and relevant teams.
  • Grant Financial Management and Compliance
  • Liaise with partners on grant implementation and reporting.
  • Ensure compliance with donor financial obligations, including:
  • Financial compliance checklists and documentation
  • Correct project, fund, and donor activity codes in SunSystems
  • Periodic reviews of supporting documentation for all transactions
  • Budget variance analysis and advice to Finance Manager
  • Assist in grant audit response and recommendations for internal control improvements
    • Review and provide feedback on donor reports prior to submission.
    • Conduct periodic field visits to assess program and financial compliance.
    • Identify and address potential risks or problem areas proactively.
  • Capacity Building and Training
    • Review grant agreements and identify compliance gaps.
    • Support the development of policies, procedures, and systems for grant management.
    • Share best practices in grant management.
    • Conduct or coordinate training to strengthen grant management competencies.
  • Grant Cash Flow Management
    • Monitor grant cash flow to ensure donor requirements and HFHU procedures are met.
  • Payroll Administration (Grant-Related Costs Only)
    • Prepare payroll costs charged to grants and ensure statutory deductions are remitted accurately.
    • Prepare Salary Journals for SunSystems entry.
  • Internal Controls and Audit Support
    • Ensure implementation of internal controls for all grant- related disbursements.
    • Support internal and external audits by preparing schedules and responding to queries.
  • Budgeting Support
    • Participate in project and annual budgeting and monitor performance.
    • Prepare monthly budget vs. expenditure reports.
  • Cash and Cash Flow Management
    • Review financial requests for completeness, authorization, and budget availability.
    • Support field offices as required.
    • Perform any other duties assigned by the Finance & Operations Manager.
  • Review and provide feedback on donor reports prior to submission.
  • Conduct periodic field visits to assess program and financial compliance.

Qualifications, Skills and Experience:

  • Bachelor’s Degree in Commerce, Accounting, or Business Studies with accounting specialization.
  • Part professional accounting qualification (ACCA, CPA (K), CPA (U))
  • At least 5 years post-qualification experience in a busy finance environment
  • Computer literacy, including MS Word, Excel, and SunSystems Qualifications:
  • Preferred – in addition to minimum:
  • Knowledge of donor regulations (USAID, EU, UN etc.)
  • Experience in NGO/International Development grant accounting
  • Required Knowledge & Expertise / Competencies
  • Strong analytical, planning, and organizational skills
