Job Summary: The Chief Accountant ensures delivery of all financial accounting objectives in line with the overall company goals, manage the members of staff in the department and ensure that the department meets its targets.
Key Duties and Responsibilities:
Reports
- Ensure that proper month end closure procedures for the finance department including accurate booking of incomes and expenses in the Oracle system are done by the 5th of the subsequent month.
- Preparation of financial statements and reports.
- Reconciliation of stocks by 5th of the subsequent month and resolution of outstanding items within 15 days.
- Reconciliation of stocks by 5th of the subsequent month and resolution of outstanding items within 15 days.
- Ensure reconciliation of all accounts as per Company Policy.
Budget
- Preparation of budgets and forecasts for the company.
- Carryout a budget variance analysis. Control and reviewing all accounting entries to ensure proper booking in line with budget. Analysis of actual income and expenditure against the budget and determining cause of any variation.
Audits Team – lead during internal and external audit season including but not limited to:
- Ensure all requested information is provided to Auditors.
- Ensure timely response to follow-up queries from Auditors.
- Ensure necessary adjustments as recommended by Auditors are taken up.
- Ensure timely preparation and sign off of Financial Statements.
Operations day to day
- Develop and check that the Company’s accounting procedures and principles are regular updated in line with changes in company policies and IFRS and that these are correctly applied.
- Review and approve various financial transactions/reports such as invoices, DN/CNs, journal entries and reconciliations in line with company policies.
- Maintaining the fixed asset register. Liaising with management information system on system analysis and ensuring all asset movements are recorded and register updated on timely manner.
- Ensure reliability of accounting and tax information by implementing appropriate procedures, checks and performance indicators.
- Ensure financial compliance with all relevant laws and regulations e.g. Tax laws. Oversee the timely preparation of company’s tax returns and other statutory deductions.
- Ensure stock control within the company, i.e., stock reconciliations, stock takes, stock gains/losses monitoring.
- Reconciling the daily banking against receipts raised by noon each day, clearing receipts & payments in the system, reporting on the bounced cheques to cashier and credit control for reversal within the same working day.
- Following up and ensure payments to suppliers are done in the Bank and in Oracle on a timel
- y basis within the next working day from time we receive the payment from Financial Controls.
- Carry out account Receivables (account analysis, credit/debit note, communication, and staff accounts) and ensure no long-outstanding balances.
- Prepare weekly cash utilization report every Friday morning.
- Maintain the general ledger in accordance with IFRS for all transactions and ensure that all accounts are reconciled per company policy.
- Develop a system of internal controls and ensure adherence and effectiveness to mitigate the risk of fraud or loss of company resources Assess adequacy of existing internal controls.
- Proactively identify new accounting standards applicable to the business and assist develop appropriate implementation strategy.
- Assist to establish and monitor key staff performance and development goals, assign accountabilities, set objectives, establish priorities, and conduct annual performance appraisals.
- Manage the finance department performance and departmental development through coaching and mentoring of staff.
- Assist in identification of training and development requirements within the Accountancy Section and ensure that these are met.
- Deputize Finance Manager when required.
- Undertake any other duties as appropriate or assigned from time to time.
Qualifications, Skills and Experience:
- The ideal candidate must hold a Bachelor’s degree in finance/accounting /economics and or related fields.
- Professional Accounting certification (CPA, ACCA).
- Minimum 5 years’ experience in an accounting position within a busy finance department, at least 1 year of which should be in a supervisory role.
- Strong understanding of financial markets, financial instruments, tax law and regulations.
- Excellent financial reporting and analysis skills with a strong grasp of technical accounting standards (IFRS).
- Proficient in MS Office applications, particularly MS Excel.
- Strong leadership and interpersonal skills.
- Ability to work under minimum supervision.
- Self- driven, flexible, has a high level of integrity and a team player.
- Have good written and verbal communications skills
- Strong negotiation skills.
- Have excellent analytical problem-solving skills.
- Ability to evaluate alternatives and make recommendations to management on business issues.
- Proficient in using ERP systems, preferably Oracle.
- Ability to work under pressure and capable of meeting tight deadlines that may require occasionally working longer hours including weekends.
