Job Summary: The incumbent will ensure to provide effective and efficient administrative and secretarial support service to the Audit business and any other department as may be assigned by the respective manager.

Key Duties and Responsibilities:
Administrative Support
- Provide day-to-day secretarial and administrative support to Audit & Assurance Partners, Directors, Managers, and engagement teams.
- Maintain an effective filing and document management system for departmental records.
- Draft, format, review, and distribute professional correspondence and reports.
- Support the preparation and submission of departmental reports and administrative documentation.
Engagement Coordination Support
- Assist audit teams with engagement administration and logistics.
- Coordinate the preparation and issuance of engagement letters and related documentation.
- Track engagement milestones, deliverables, and deadlines.
- Support engagement teams in managing client requests and documentation submissions.
- Facilitate communication between engagement teams and clients regarding scheduling and administrative matters.
- Monitor the status of audit engagements and escalate outstanding administrative issues.
- Document Management and Quality Compliance
- Maintain accurate and organized audit engagement records in accordance with Deloitte policies and quality standards.
- Ensure proper filing and archiving of engagement documentation.
- Support compliance with risk management, confidentiality, and document retention requirements.
- Assist in maintaining departmental databases and tracking systems.
Communication and Stakeholder Management
- Act as the primary administrative contact for internal and external stakeholders.
- Manage departmental courier services, and documentation dispatch.
- Support professional communication between audit teams and clients.
- Maintain positive working relationships with clients, vendors, and internal stakeholders.
Qualifications, Skills and Experience:
Required Qualifications and Experience
- Bachelor’s Degree in Secretarial Studies, Office and Information Management, Records Management, or a related field;
- Professional secretarial or administrative certification will be an added advantage;
- Minimum of 2-3 years’ relevant experience in a professional services firm, financial services environment, audit function, consulting firm, or corporate organization.
- Experience supporting senior management and multiple stakeholders simultaneously.
- Previous experience in document management and administrative coordination is preferred.
- Ability to operate office equipment such as photocopier, printers, etc.
- Be a Ugandan citizen or eligible to work in Uganda.
- High level of integrity and confidentiality.
