Job Title: Projects Officer

About Organisation:

Exim Bank (Uganda) (EBU), commonly known as Exim Bank, is a commercial bank in Uganda. It is one of the commercial banks licensed by the Bank of Uganda (BOU), the central bank and national banking regulator.




Job Summary: The Projects Officer will support effective planning, coordination, implementation, monitoring, and reporting of the Bank’s projects and process improvement initiatives. The role will work closely with business units, technology, operations, procurement, finance, compliance, risk, vendors, and project teams to ensure that projects are delivered on time, within approved scope, within budget, and in line with the Bank’s strategic priorities, policies, governance standards and customer service objectives.

Key Duties and Responsibilities:

  • Support the preparation of project charters, business cases, work plans, project schedules, implementation roadmaps, and milestone trackers.
  • Coordinate project start-up activities, including meeting scheduling, stakeholder mapping, requirements gathering and confirmation of project governance structures.
  • Track project deliverables, timelines, dependencies, and action items to ensure teams remain aligned and accountable.
  • Support business units in translating strategic priorities into actionable project activities with clear owners, deadlines, and success measures.
  • Assist in the implementation of bank-wide projects, including technology, operations, branch, customer experience, regulatory, product, process improvement, and transformation initiatives.
  • Coordinate cross-functional project teams to ensure tasks are completed according to approved scope, timelines, quality standards, and budget.
  • Escalate delays, blockers, risks, resource gaps, and scope changes to the Project Manager or relevant governance forum for timely resolution.
  • Support user acceptance testing, pilot rollouts, training coordination, issue logging, and post-implementation stabilization activities.
  • Prepare regular project progress reports, dashboards, status updates, minutes, action logs, risk registers, issue logs, and decision logs.
  • Monitor project performance against approved plans, budgets, milestones, deliverables, and expected business benefits.
  • Support the tracking of project outcomes, including cost savings, revenue impact, customer experience improvements, operational efficiency gains, compliance outcomes, and process improvements.
  • Track project expenditure against approved budgets and highlight variances, funding gaps, pending approvals, or cost overruns.
  • Support the preparation and processing of procurement documentation, quotations, purchase requisitions, invoices, contracts, and payment follow-ups in line with Bank policies.
  • Maintain project contract, vendor performance, and payment tracking records to support transparency and audit readiness.
  • Maintain a complete, accurate, and version-controlled repository of project documents, including scopes, requirements, plans, approvals, reports, change requests, testing records, training materials, and closure documents.
  • Ensure project documentation complies with internal project management standards, audit requirements, regulatory expectations, and information security guidelines.
  • Support the preparation of materials for steering committee meetings, management updates, project review forums, and executive decision-making.
  • Coordinate communication between project teams, business units, senior stakeholders, vendors, and support functions to maintain alignment throughout the project lifecycle.
  • Support change management activities, including communication plans, training logistics, stakeholder briefings, readiness checks, adoption tracking, and feedback collection.
  • Ensure projects are implemented in line with relevant banking policies, operational risk controls, compliance requirements, data protection standards, and internal approval processes.

Qualifications, Skills and Experience:




  • A bachelor’s degree in business administration, Project Management, Finance, Information Technology, Economics, Statistics, Engineering, or a related field.
  • A postgraduate qualification or professional certification in Project Management, PRINCE2, PMP, Agile, Scrum, Business Analysis, or Lean Six Sigma will be an added advantage.
  • At least 2 to 4 years of relevant experience in project coordination, project management support, business analysis, operations, strategy execution, technology implementation, or process improvement.
  • Experience in banking, financial services, fintech, consulting, telecommunications, or a regulated environment will be an added advantage.

KEY ATTRIBUTES

  • Good understanding of project management principles, project lifecycles, governance, documentation, risk management, and benefits tracking.
  • Ability to develop and maintain project plans, trackers, dashboards, status reports, minutes, and action logs.
  • Working knowledge of banking operations, digital channels, customer service processes, compliance requirements, operational risk, and internal controls.
  • Proficiency in Microsoft Office tools, especially Word, Excel, PowerPoint, Outlook, Teams, and project tracking tools
  • Strong communication, stakeholder engagement, and relationship management skills.
  • High attention to detail, follow-through, accountability, and commitment to quality.
  • Ability to work under pressure, manage multiple workstreams, and meet tight deadlines
