Job Title: Document Control Officer

Uganda Airlines is the flag carrier of Uganda. The company is a revival of the older Uganda Airlines which operated from 1977 until 2001. It began flying in August 2019.
Key Duties and Responsibilities:
- Daily Document control and management, that is Control over documentation preparation, modification, revision, distribution, issuance (as per procedure), and maintenance of documents throughout their lifecycle.
- Assisting multi-disciplinary teams in capturing the information and data required for the operations and formatting documents in accordance with agreed templates and keep checking templates for future use.
- Reviewing, updating, and modification of technical documents (for example Internal & External manuals).
- Maintaining Quality & compliance checks on documents.
- Appropriate distribution of all controlled documents necessary to meet business and operational requirements.
- Management of a comprehensive document control database for all controlled documents.
- Managing the flow of documentation within the organization.
- Filing and organization of documents and records (both electronic and/or hard copies).
- Maintenance of a list (register) of applicable documents.
- Supporting procedures by maintaining transparent, up-to-date, accurate, and easily traceable documents.
- Ensuring timely and easy access to documentation by authorized parties and aiding the retrieval of documents for authorized parties.
- Maintaining confidentiality around sensitive information and terms of the agreement.
- Progress reporting on the document status / maintaining KPIs (Key Performance Indicators)
- Monitoring & Updating Aircraft On-Board Library.
- Monitoring & updating Central Library & departmental Libraries.
- Writing and dispatching correspondence within the company and with the regulatory authority.
- External Documentation Acquisition for example documentation from Aircraft Manufacturers, Regulatory bodies.
- Q-Pulse System administration/ Electronic document and records database administration.
- Records Management i.e. management of records throughout their whole lifecycle that is controlled, storing, retention, appraisal, archival, and destruction.
- Taking part in regulatory authority inspections and audits by preparing documentation necessary for the audits.
- Administrative assistance to the Manager Quality and Monitoring.
- Performing other duties as requested, directed or assigned by the manager.

Qualifications, Skills and Experience:
- The ideal candidate for the Uganda Airlines Document Control Officer job must hold an honor Bachelor of Science degree from a recognized university
- Three years of working experience in aviation records management
- Customer-focused and hospitable.
- Team player.
- Proactive/results-orientated.
- Warm, friendly, pleasant & presentable.
- Good communication and intrapersonal skills.
- Self-motivated.
