Key Duties and Responsibilities:
Human Resource Key
Responsibilities
General
- Answering employee questions
- Processing incoming mail
- Creating and distributing documents
- Providing customer service to organization employees
- Setting appointments and arranging meetings
- Maintaining calendars of the HR management team
Recruitment/New
Hire Process
- Participating in recruitment process
- Scheduling appraisals for departments
- Posting job ads and organizing resumes and job applications
- Scheduling job interviews and assisting in interview process
- Collecting employment information
- Ensuring background and reference checks are completed
- Preparing new employee files
- Overseeing the completion of compensation and benefit documentation
- Orienting new employees to the organization (setting up a designated
log-in, workstation, email address, etc.) - Administering new employment assessments
- Serving as a point person for all new employee questions
Payroll and
Benefits Administration
- Processing payroll, which includes ensuring vacation and sick time
are tracked in the system - Answering payroll questions
- Facilitating resolutions to any payroll errors
- Participating in benefits tasks, such as claim resolutions,
reconciling benefits statements, and approving invoices for payment
Records
Maintenance
- Maintaining current HR files and databases
- Updating and maintaining employee benefits, employment status, and
similar records - Maintaining records related to grievances, performance reviews, and
disciplinary actions - Performing file audits to ensure that all required employee
documentation is collected and maintained - Completing termination paperwork and assisting with exist interviews
Administration Key
Responsibilities
- Prepare monthly estimates of expenditure, and inventory controls for
the day to day running of the office and make recommendations to
management. - Keeping a watch on all the office supplies and replenishing the
stock with new things as they run out - Looking after the requirements of each department
- Tracks office supply inventory and approves supply orders
- Submit and reconcile expense reports
- Maintaining the condition of the office, managing and/or arranging
for necessary repairs and management and/or maintenance of office
equipment - Arranging regular testing for electrical equipment and safety
devices - Organizing the office layout and maintaining supplies of stationery
and equipment - Implementing filing systems for the office
- Maintain business premises and other facilities as well as
maintaining a clean and enjoyable working environment. - Managing clerical or other administrative staff and supervising the
cleaners - Sorting and distributing incoming and outgoing post.
- Monitors office operations
- Organizing, arranging and coordinating meetings
- Giving suggestions to management on the overall functioning of the
office - Provide general support to visitors
- Reviewing and updating health and safety policies and ensuring they
are observed - Other duties as may arise from time to time and as may be assigned
to the employee.
Qualifications, Skills and Experience:
- The ideal candidate must hold a Bachelor’s Degree in Business
Administration majoring in HR; or a Bachelor’s degree in HR from a
recognized University. - One year of experience in an HR and Administration environment.
- Good computer skills i.e. working knowledge of Microsoft Office
Suite (Word, Excel, Outlook) - Good Team work orientation
- Knowledge of Uganda Labour Law
- Good communication skills
- Flexibility towards others and the job
