designed to provide clean light, phone charging, entertainment and more for
those living off-grid.
Job Summary: The Logistics and Administrative Assistant
will be responsible for the day to day administrative functions. This position offers an incredible
opportunity to work with a team of administrators, business heads and directly
contribute to the success of the Fumba Team startup. Candidates must have a
passion for entrepreneurship, renewable energy and sustainable development in
Frontier Markets. As a Logistics and Administrative Assistant, you will be
based in Kampala, Uganda, working on
administrative, finance and logistics functions under the supervision of
the Procurement and Logistics Manager.
Key Duties and Responsibilities:
- Process Purchase Request Forms (PRFs) and update the Financial
expense record sheets accordingly. - Support the Procurement & Logistics Manager to reconcile and
update goods and services in the SAP Finance and accounting system. - Maintain a highly professional working environment everyday ( set up
demo units, projector, clean whiteboard in every room, etc.) – ensuring
that the office always looks its best. - Support in managing motorbike bookings, vehicle bookings and pick up
hires for all Fumba employees. - Support in maintaining routine schedule for office maintenance –
fumigation, deep clean, cleaning of water dispensers, etc. - Support in preparing PRFs for office meals, stationery and office
consumables on a weekly basis. - Coordinate with service providers to ensure that fuel
reconciliations for all motorcycles are updated on a monthly basis. - Support in coordinating logistics for meetings within and outside
office premises. - Support the on boarding process for new hires by coordinating
purchase of workstation, computers, phones, helmets and all required
equipment. - Support to provide cover to the reception when required as well as
manage staff appointments. - Coordinate parcel pickups, receive, sort and distribute mail to
Fenix employees. Help ensure adherence to meeting rooms booking rules and
ensure that the rooms are ready for the next meeting. - Work hand in hand with the office guards to ensure there is proper
tracking and identification of guests visiting Fenix premises. - Monitor and maintain office equipment and report any repair that
needs to be done. - Support in submitting and reconciling PRFs against receipts and
ensure proper accountability of all expenses under the administration and
procurement department in adherence to the Fenix procurement policy. - Support in maintaining supplies inventory per month by checking
stock to determine inventory level; anticipating needed supplies; placing
and expediting orders for supplies; verifying receipt of supplies. - Support in ensuring the office premises both indoor and outdoor are
kept tidy and presentable for the next day business operation. - Run errands as requested by your supervisor.
- Any other duties as requested by your supervisor.
Qualifications, Skills and Experience:
- The applicant for the Fenix International Logistics and
Administrative Assistant job must hold a Diploma or Degree from a
recognized University in Public administration, general administration,
Procurement, Finance & Accounting or a related field. - Ability to communicate & function in a culturally diverse &
change oriented setting with good knowledge of procurement &
administration policies. - Outstanding written and verbal communication skills (English)
- Very strong Microsoft Excel and general data analysis skills
- Proficiency in Microsoft Word
- Ability to influence, communicate effectively and work with minimum
supervision. - Innovative, proactive & result driven.
- Strong problem-solving skills & positive business impact.
Excellent customer service skills and willingness to work long hours. - High level of integrity & confidentiality
