Job Summary: The Administration Supervisor will be overseeing and monitoring activities within the Bank’s General Administrative function to facilitate seamless operations and provide proper support to branches. The role primarily involves supervising the entire fleet team, reception, and support staff, managing bank assets throughout their lifecycle, handling insurance policies and claims, overseeing stock and stationary management, as well as managing leased services.
Key Duties and Responsibilities:
- Contribute to the development of the overall strategy for Fleet, Stock, Asset Management, courier services, cleaning, and other related functions based on business requirements and cost-effective solutions.
- Manage the complete life cycle of bank assets as outlined in the policy and bank procedures.
- Oversee the overall insurance portfolio as the department’s contact person. Ensure timely performance of all department responsibilities, including maintaining a database of all insurance policies, and following up on all insurance claims for company assets and fleet.
- Oversee all stock management functions within the bank, ensuring strict compliance with policies and procedures. Provide innovative advice to the bank on store management for increased efficiency and effectiveness.
- Ensure the accuracy of invoices under administration services and other received bills, with a focus on timely payment and filing of all supporting documents.
- Support the implementation of controls in procurement activities related to administration needs, including dual controls, record-keeping, and the purchase of items essential for administration support, particularly micro procurement items.
- Serve as the contract manager for leased services, with responsibilities extending to contract management and performance monitoring.
- Estates and Projects Management; ensure thorough cleaning and fumigation of all premises, in liaison with the Estate Supervisor, serve as the keys custodian in the Bank
- Supervise all courier management activities in accordance with the approved policy, procedure manual, and other established KPIs.
- Provide oversight of all fleet functions. This involves ensuring the efficiency and effectiveness of the bank-wide fleet, as well as the proper implementation of the fleet policy and procedures, in adherence to best practices.
- Provide comprehensive leadership and supervision for the team within the unit.
- Deliver weekly, monthly, quarterly, and annual reports as requested.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Business Administration, Finance, Accounting, Procurement and Supply Chain Management, any business-related degree
- Professional certification in, CIPS or any other Applicable Professional Certificates, driving license category B.
- At least three years of working experience within a financial sector or any other similar organization
- Knowledge of the Ugandan banking regulations and statutory requirements.
- Good communication skills (oral and written)
- Analytical and numerical skills involve reading and interpreting financial reports, analyzing trends, financial/business management skills to a high level
- Process management skills
- Good knowledge of vehicle maintenance activities
- People management skills
- Must be able to give clear explanations when communicating plans and strategies to other Departments and external stakeholders
- Ability to influence and persuade others at all levels in the organization
- Occasional formal presentations to stakeholders
- Planning and management skills must be highly developed.
- Report writing skills, requiring original thought and analysis
