The Pearl dairy Farmers Community (PDFC) is an initiative by the (PDFL) Pearl Dairy Farms Limited (a leading Dairy manufacturing company based in Mbarara, Uganda) and IFC (International Finance Corporation). Since PDFLs’ inception in 2013, the company has been procuring its raw material, milk, from farmers and cooperatives around the manufacturing facility in Mbarara. Before its operations, the wastage of milk in the region was over 50% of the produce and due to its proximity to the farming community, the company has been instrumental in reducing the wastage of milk.
Job Summary: The Warehouse Manager will provide effective and reliable services by overseeing receipt, dispatching, and storage of finished goods, manage warehouse staff and oversee security, sanitation, and performance of administrative functions of the warehouse.
Key Duties and Responsibilities:
- Oversee and manage the company’s FG, raw materials, packaging materials and consumables warehouse in Kampala:
- Effectively oversee and review daily stock taking to ensure that all FG at the warehouse is properly accounted for and is accurately reflected in the system with no variances;
- Manage and oversee customer order fulfilment with regards to loading of finished goods to reduce customer turnaround time;
- Plan, co-ordinate and monitor the receipt, storage, and dispatch and loading of FG;
- Drive a zero-tolerance for any deviation from the use of quality processes to ensure customer deliverables are fully met;
- Ensure the relevance and accuracy of all documentation relating to goods in and out including labeling of all stock items;
- Review monthly sales forecasts and take necessary action to ensure that there are sufficient levels to FG to fulfil all sales orders at any given time at the warehouse;
- Receive and confirm customer invoices and reconcile all FG stock transfers, GRNs and delivery notes;
- Manage the warehouse teams through supervisors to handle interactions and management of any grievances or concerns that may arise from time to time;
- Develop and oversee continuous training and development programs aimed at improving the productivity of labour under warehouse function;
- Provide extended support to the Environment, Health, and Safety (EHS) team in overseeing the implementation of safety standards throughout the under the stores and warehousing function;
- Develop and maintain metrics/KPIs, reports, process documentation, customer service logs and training and safety records;
- Develop policies and procedures for warehouse activities and ensure all systems meet the standards for accreditation in line with the quality systems;
- Review ways to ensure efficiency, add value and reduce costs as well as delivering continuous improvement initiatives;
- Establish, monitor, and maintain high standards of security in the warehouse by setting security procedures;
- Ensure that vehicles, machinery, and equipment are well maintained and fit for use;
- Ensure a clean and tidy working environment to aid operational efficiency;
- FIFO adherence; and
- Perform any other duties assigned by the Line Manager from time to time.
