Ustawi Microfinance Limited (Ustawi) is an Islamic Microfinance Institution that aims to serve low-income women micro-entrepreneurs living in peri-urban and rural communities in Uganda with sharia-compliant, interest-free microcredit and micro-insurance products. Licensed in 2021, Ustawi is a Non-deposit-taking Institution regulated by Uganda Microfinance Regulatory Authority (UMRA) under the Tier 4 Microfinance Institutions and Money Lending Act, 2016.
Job Summary: The Accountant/Administrative Officer will be providing efficient and effective administrative support for all Ustawi operations, supporting finance and accounting management for the company, and giving all the necessary IT support to the company.
Key Duties and Responsibilities:
Office Management
- Take responsibility for the maintenance of all office equipment and ensuring good ambiance of the office is maintained.
- Coordinate and organize staff field operations to ensure efficiency and compliance with company policies
- Managing the front desk, welcoming and attending to visitors, providing the required information, channeling clients to the required services/relevant personnel in-charge
- Attending to incoming and outgoing telephone calls
- Keeping an inventory of office supplies/stationery and ordering new materials as required by staff for their daily office work.
- Ensuring sufficient printing paper at copier/printer points, notebooks, and tooled desk organizers as required by staff.
- Financial Management and Accounting
- Prepare payment requests according to the company procedures.
- Handle office petty cash payments and provide timely accountability.
- Ensure completeness of supporting documentation for payment.
- Responsible for petty cash disbursements, replenishment, and petty cash count.
- Ensure bank and petty cash transactions are recorded on a daily basis
- Monitoring cash flows for daily and monthly expenses
- Prepare monthly cash flow control sheets with original documents of all transactions
- Purchase, store, and issue office supplies and stationery for the facilitation of field activities
- Helping with various arrangements internally, from travel to processing expenses
- Conduct field staff training in all matters regarding financial management and reporting
- Managing and coordinating monthly reporting, budgeting, and forecast processes
- Review budget activities to ensure cost-efficiency
- Ensure all transactions are processed and ready in time for month-end and quarter-end reporting as per the agreed timetable.
- Providing back-office services such as accounts payable, collection, and payroll.
Qualifications, Skills and Experience:
- The applicant must hold a degree in finance and accounting, business administration, commerce, or a related field.
- At least three years performing the same role.
- Accounting and knowledge of accounting packages such as sun system, IFRS9, etc.
