Job Summary:  The Child Protection and Information Systems Management Assistant – UNHCR Project will provide grassroots CPIMS management and implementation, monitoring and documentation of Unaccompanied & Separated children and other Children at Risk, generate reports in different forms and share data to partners through the CPIMS facilitator as per the information sharing protocol and assumes the responsibilities given under the purpose in accordance with a well-defined framework of policies and procedures under immediate supervision. He or She will ensure the smooth information exchange between UNHCR, UNICEF, OPM, The District and other key CPIMS Implementing Partners. He or she will further give extended support in relation to child protection at the Child Friendly Spaces and psychosocial support guided by WV Uganda Policies.

 

Key Duties and Responsibilities:

Form preparation:

  • Supply Case workers with all relevant stocks
  • Manage case management stock
  • Coordinate with data clerks from other agencies for mutual and technical support needed in IMS

Information Management.

  • Produce weekly summary of case management progress (number of BIA/BID registered, home visits/follow up, referrals, reunification, case closed etc.)
  • Provide feedback/ raise concerns to the Child Protection System facilitator about delayed procedures.
  • Perform daily backup for all the data stored in the computer and maintain security of back up hard copy
  • Perform monthly and quarterly back up and hand over back up files to CPIMS supervisor for storage in a secure place
  • Assist in monitoring all UASC and other children at risk case management information and give appropriate feedback to the supervisor and the field staff.
  • Facilitate system information matching.
  • Regular update of individual information, resolve discrepancies and conduct data reconciliation.
  • Prepare and update weekly/monthly statistics on identification, follow-up, reunification, repatriation, according to program needs.
  • Submit weekly, monthly, and quarterly activity reports to the Child protection IMS facilitator.
  • Any other tasks assigned by the supervisor

Confidentiality

  • Keep all the hard copy of FTR records in the lockable cabinet.
  • Ensure database and the computer is password protected, and computer not shared with others.
  • Follow the contingency plan in place during the time of evacuation to protect hard & soft copy of case management data especially for children at risk with protection concerns.

Data entry

  • With the help of data clerks, enter accurately and in a timely manner in the interagency child protection standard database, all manual forms filled in by the field staff (All other related case management forms).
  • Follow up and request for additional information from the field staffs when necessary and work with the field staff to ensure efficient data capture protocols.
  • Responsible for the periodical internet synchronization with the main office and ensure the confidentiality of the information on the children.
  • Provide regular follow up and update system feedback to the case workers.




Qualifications, Skills and Experience:

  • The applicants for the World Vision Child Protection and Information Systems Management Assistant – UNHCR Project job must hold a university degree in Information Technology, Data base management, Social Work and Social Administration, Development studies, knowledge management and other related area
  • One to two years of experience in data entry and Use of IMS and case management. Knowledge of ProGres V4 is an added advantage.
  • Accurate and speedy data entry and strong computer literacy.
  • Proficient English communication skills (both oral and written).
  • Able and willing to work in environment with limited access to basics.
  • Advance knowledge of data entry, Micro Soft i.e. MS office, Excel, MS Word, MS Access and internet.
  • Knowledge of and adherence to the Child Protection, Red Cross and NGO Code of Conduct.
  • Strong interpersonal relationship and team building back ground.
  • Excellent analytical, documentation, problem solving, interpersonal, training facilitation skills.
  • Possess the ability to work with different partners, local authorities, local organizations and NGOs, to develop and maintain positive collaboration and relationship.
  • Must be ready to work in a multi-cultural environment
  • Familiar with Child Protection work
  • Appropriate communication skill and approachable
  • Must have no history of violation of children rights
  • Cross-cultural sensitivity, flexible worldview, emotional maturity and physical stamina
  • Ability to work in and contribute to team building
