Job Summary: The Sponsorship
Assistant will assist the Sponsorship Coordinator in giving support to and
promotion of Plan Uganda’s Country goals in growth, customer satisfaction and
establishing an effective linkage with National Office (NO) and other
stakeholders. The job holder will be responsible for a minimum of 4000
sponsored children.
Key Duties and Responsibilities:
  • Type, proof read and compile all Sponsor
    Child Introductions (SCI) and Sponsored Child Updates (SCU) for each month
    in time
  • Use checklist to ensure that information
    on the SC’s and SCUs is accurate
  • Download qualify photos from the field
    staff to a designated file for future use
  • Enter New Enrolment into the ES4 system
    and upload to child data photos and SCIs of all pooled children within
    specified time
  • Update Sponsorship Coordinator on all SC
    Communications that raise queries from time to time.
  • Support community training in Sponsorship
    communications
  • Proof read all Sponsored child
    communications to ensure that no NOIs arise from statements made in the communications
  • Participate in working with children and
    community members to produce quality and timely Area Overviews, Area
    Updates and Development Education Communication
  • Enter all Sponsor Child and Sponsor data
    or SC gifts in the system correctly, accurately within one week from the
    date of receipt.
  • Type cancellation/graduation memos in free
    format correctly, accurately and timely before submitting to the
    sponsorship Coordinator for final editing and quality control
  • Support enrolment of SCs in new locations.
  • Enter into child data SCI information with
    complete quality photos for new enrolments.
Qualifications, Skills and
Experience:
  • The candidates should hold an advanced
    Diploma in Secretarial Studies.
  • Good computer literacy skills especially
    in Micro-soft Word and Excel
  • Good typing skills of not less than 50
    words per minute.
  • Knowledge and Experience in Database
    management may be an added advantage.
  • He / She should have at least three years
    working experience preferably with an NGO.
  • Must demonstrate ability to generate and
    utilize digital images
  • Experience in Basic backup and recovery
    procedures for corporate systems.
  • Experience working on a LAN environment.
  • Interest in addressing children, family
    and community development issues.
  • Proficiency in both oral and written communication
    skills in English.
  • Ability to troubleshoot basic hardware
    problems.
  • Open, friendly and pleasant personality.
