Job Summary: The Records
Management Consultant will be mainly responsible for the planning and
implementation of the Electronic Records Management project and the
implementation of an effective records/ documents’ handling process, in line
with the laid down guidelines to meet the business needs.

Key Duties and Responsibilities:
- Write a project plan including
deliverables, timelines and budget for introduction of Electronic Document
Management. - Manage the planning and implementation of
the Bank’s Electronic Document Management project. - Manage the changeover from paper to
electronic records management system. - Provide training and related training
manuals; to Registry, Credit & Business Units’ staff to demonstrate
the Electronic Documents Management system’s functionality. - Review and update the Bank’s Records
Management processes and procedures’ manual, in conjunction in related
stakeholders. - Devise a records storage plan, which
includes the short and long-term housing of physical records and
electronic information, in conjunction with related stakeholders. - Steer the review and amendment of the
physical securities’ and credit files’ handling / storage / filing
procedures - Carry out end-to-end inventory to determine
the volume, storage locations, conditions and types of records kept by the
Bank. - Oversee the clean-up exercise of documents
in archival locations, in line with the Bank’s requirements.
Qualifications, Skills and
Experience:
Experience:
- The applicant should hold a university
degree in Library and Information Sciences or Records Management. - A minimum of five years’ relevant working
experience in the above disciplines and evidenced experience in similar
projects will be of added advantage. - Detailed knowledge and understanding of
records management principles in order to advise the organization on
policy and procedures. - Good understanding of bank procedures,
policies and regulatory requirements would be an added advantage. - Possess the ability to understand and
apply file titling, numbering, registration and tracking procedures, - Ability to communicate with staff at all
levels of the organization. - Ability to supervise, train staff,
prioritize work plans and scheduling of work assignments. - Highly proactive approach to work with a
high level of maturity and self-drive. - High level of integrity and ethical
standards, - Excellent interpersonal and communication
skills.
