Job Summary: The Office
Administrator will handle all financial and administrative duties in the
Company. The Office Administrator serves as the first line officer in the
Company and is accountable for administration and finance matters. He/She will process all secretarial and
administrative work in the office like typing, filing, organizing the office
for meetings, writing minutes, managing support, staff and visitors travel, accommodation,
handling all the clients on appointment, maintaining office supplies in liaison
with service provider among others

Key Duties and Responsibilities:
- Provide timely support to the work of the bid
preparation and Contract Compliance and Performance Management to ensure
the effective implementation of supply and service contracts, with an aim
to achieve probity and proper performance of obligations by all parties to
such Contract; - Carry out routine administrative and drafting tasks
e.g. drafting work orders, faxes, memos; - Render support as required with compiling data for
implementing quality assurance surveillance plans; - Support in the monitoring and inputting information
on contract performance to ensure compliance with contract terms,
milestones, schedules, deliverables and cost objectives; - Alert to potential conflicts and performance issues
with vendors such as variation, extension of time, enforcement of
warranties / securities, disputes poor performance or non-compliance with contractual
obligations. - Update and maintain CCPMU electronic and hardcopy
files and records complete accounting and reporting requirements to ensure
proper audit trail of the contract compliance and performance management
role; - Compile information and data as required for budget
preparation; - Perform any other work as required.
Qualifications, Skills and Experience:
- The Office Administrator should hold a High School
Certificate with an Credit in Maths and English - At least three years of progressively responsible
experience in contract administration or management as required. - Computer literacy skills. Ability to use with ease
Microsoft Office - Versatility and adaptability – Able to anticipate,
facilitate and catalyse change in the business environment and accurately assess
the need for new skills and knowledge. - Office Administration – Able to take responsibility
for all aspects of planning,
organization, coordination, and improvement of the administrative work - Financial
management- handling payments, management office imprest, accountability
of received funds, URA tax returns filling, - Teamwork
(Collaboration) and Inclusion – Collaborates with other team members and
contributes productively to the team’s work and output, demonstrating
respect for different points of view. - High
