Job Summary: The Finance
Assistant will support in the processing and recording of payment transactions
in a timely and accurate manner.

Key Duties and Responsibilities:
- Maintain the bank file, ensuring that all
bank information is properly filed and updated; - Keenly record advance payments and returns
in an Advance Log Sheet and keep up-to-date on individual balances for
each advance; - In charge of preparing monthly
amortization entries of prepaid accounts; - Maintain benefits accrual documentation
and prepare monthly benefits accrual entries; - Prepare the allocation journal entries
(clearing of pool accounts); - Support with month-end balance sheet
account reconciliations; - Ensure that all supporting documentation
is prepared and filed according to IPA and donor procedures; - Prepare cash payment vouchers and ensure
that all cash transactions are fully and properly documented; - Regularly review expense reports,
including staff and advance expense reports, for accuracy and completeness
and ensure that expense reports have been fully approved before payment; - Perform weekly cash count with the
Administrative Assistant and witnessed by the - HR/Operations Manager;
- Maintain the un-cleared cash advance file
and prepare past due advance report for the Finance Manager; - Prepare checks or wire transfer requests
based on fully approved documents and present to approved check-signers
for review and signature; - Prepare bank payment vouchers and ensure
that all bank transactions are properly and fully documented; - Record payment vouchers in SAGE accounting
system; - File all cash and bank vouchers and
maintain voucher filing system such that files are updated, complete and
safeguarded and stamped; - Perform any other duties as assigned
commensurate with position roles and responsibilities.
Qualifications, Skills and Experience:
- The ideal candidate for the IPA Finance
Assistant vacancy should hold a University degree/ diploma in Accounting; - An additional certification in
professional accounting practice; - Three or more years’ experience in
Financial Accounting; - At least a year of post-qualification
experience within the NGO Sector; - Computer literate, with working knowledge
of MS Word, MS Excel and Accounting Software; - Detailed knowledge of general record
keeping and filing. - Excellent communication and inter-personal
skills; - Strong analytical and problem-solving
skills with attention to details; - Possess the ability to deliver creative
and participatory solutions; - Demonstrates diplomacy and tact and is a
team player; - Demonstrates high moral ethics;
- Highly pro-active, self-disciplined and
time conscious; - Demonstrates strong business orientation,
organizational, methodical and planning skills; - Maintains confidentiality of
data/information obtained; - Busy environment that requires excellent
organizational, time and stress- management skills to complete tasks.
