Job Summary: The International Organization for

out clerical and administrative tasks in support of office daily operations.

Key Duties and
Responsibilities:
Responsibilities:
- Maintain
an attractive reception area - Cordially
attend to all incoming and outgoing calls and direct them to the right
recipient. - Attend
to all visitors and contact staff in the departments and inform them about
their visitors - The
Receptionist will receive, handle and deliver all courier mail/ parcels to
and from courier service providers and respective recipients - Set
up and maintain office mailing communication logbook - Make
sure that only authorized persons are allowed to enter the building. - Scan
and photocopy documents and send to the respective officers file and
retrieve documents when required - Maintain
all office inventory list and issue consumables and supplies to
requisitioning departments. - Render
support in the preparation of Travel Authorization documents/ Expense
claims for the Chief of Mission and programme co-ordinator - Maintain
stock of office supplies and request for replenishments of the same as and
when deemed necessary - Perform
any other duties as may be assigned
Qualifications, Skills and
Experience:
Experience:
- The
applicants for the International Organization for Migration IOM Receptionist vacancy should hold a
Diploma in Secretarial Studies, Office Management or its equivalent. - At
least three years related work experience. - Computer
literacy skills: high level user - Typing
skills: speed 200 symbols/min and higher. - Ability
to work independently, effectively and harmoniously with colleagues from
varied cultures and professional backgrounds at all levels. - Working
experience in clerking/administration is desirable. - Possess
the ability to work under pressure and with minimum supervision. - Strong
verbal/written communication and interpersonal relationship skills
Languages: Proficiency in both spoken and written
English is mandatory. Fluency in Swahili and French is an added advantage.
