About MRC/UVRI:
The MRC/UVRI Uganda Virus Research Unit on AIDS was established
following a request in 1988 from the Uganda Government to the British
Government for collaboration on the research of HIV (Human Immunodeficiency
Virus) infection and AIDS (Acquired Immunodeficiency. The Unit is a center of
excellence in HIV/AIDS related research. It conducts large-scale epidemiological
and intervention studies, clinical trials, virological and immunological
research and behavioural studies, and has generated a wealth of research
results that have been used to inform policy and practice that have led to a
large number of scientific publications in peer reviewed journals over time.
About Transfer Project:
The MRC are engaged in a project to transfer the MRC Uganda Unit into
The London School of Hygiene and Tropical Medicine, through a formal legal
process of acquisition. The MRC has appointed a Senior Responsible Officer and
Project Manager to manage this programme of activity, which will be taking
place between July 2017 and February 2018.
Job Summary: The Project
Coordinator role is fundamental to supporting this transfer project in its
business activities making sure deadlines are met, e.g. the meeting
agendas/papers provided to University contacts/ senior MRC colleagues and other
senior staff to strict deadlines to enable time to read and make informed
decisions. A key part of the role will be provision of information relating to
due diligence requests, managing several regular series of meetings,
coordinating dates and attendees as well as minute taking and maintaining
action logs. 
The role will involve working with colleagues in all aspects of the
Unit (including field stations) and Corporate Head Office functions to ensure
continuous improvement and compliance of data and documentation. The role is
also a communication role which disseminates communications to relevant
stakeholders involved with the project.
Key Duties and
Responsibilities:  
  • Provide full, effective and proactive
    administrative support
  • Build and maintain relationships
    internally and externally and provide a focal point; including ensuring
    effective cross project communications.
  • Work in liaison with senior Unit
    colleagues and MRC Management to make sure key deadlines are kept
  • Manage any other support activities
  • Actively contribute towards the work of
    the project by co-ordinating and managing meeting arrangements, including
    diary dates, meeting papers and minute taking, administrative duties, and
    other ad hoc tasks.
  • Act as the first point of contact for
    correspondence, queries, prioritise activities in order to effectively
    manage internal and external meeting scheduling and organisation, long
    term commitments, deadlines and visits.
  • Attend meetings to record the minutes and
    actions and ensure that meeting arrangements are satisfactory.
  • Ensure any relevant actions are followed
    up and feedback is provided to relevant colleagues
  • In charge of updating key project
    information e.g risk, issue, decision logs: adhering to the MRC standards
    of record keeping and management.
  • Support the due diligence process, in
    collating information and uploading to an electronic data room, while
    maintaining an accurate index.
  • Maintain working relationships; proactive
    interactions within the team and wider MRC community, interactions with
    colleagues across the Unit and filed stations, external relationships i.e.
    University contacts, UK SBS Ltd and any other stakeholders
Qualifications, Skills and
Experience: 
  • The applicant should have experience of
    minuting meetings and maintaining action logs
  • Previous experience of working in an
    office, using the full range of Microsoft products (including Project) to co-ordinate meeting dates and manage meetings
  • Prior exposure and experience working in
    the public sector or in higher education
  • Experience of working or running a Project Management Office
  • Excellent organisational and
    prioritisation skills
  • Good document management skills
  • Excellent writing skills
  • Computer literacy i.e. ability to use IT
    software packages to manage projects, maintain document libraries and
    keep accurate records.
  • Excellent interpersonal skills, able to
    engage with staff at all levels
  • Ability to support staff through a period
    of change
  • Used to a fast-paced environment
  • Possess a can-do attitude, highly
    organised and strong team player
