Job Summary: The Human Resources Assistant will provide
administrative support for the Human Resources Department, including
organization of HR record keeping system, internal communications, and team
administration organization.

Key Duties and Responsibilities:
- Employee Records Management both electronically and in hard copy for
all staff of Java House Coffee Shop Uganda Limited. This must be regularly
filled and maintained - Tracking , updating and management of statutory information for all
staff – TIN, NSSF, IFD Numbers in addition to Food Handlers Certificates,
Medical Additions & Deletions, GPA Additions & Deletions, First
Aid and Fire Marshal Certificates and Employee of the Month Certificates - Support Staff confirmation, Disciplinary, promotion, and separation
processes including requisite HRMIS/SAGE/MANUAL management - Issuance of staff uniforms and safety gear to all staff and
maintaining reports on the same on a monthly basis - Liaise with staff in assigned branches to provide necessary HR
guidance as required - Assist in processing of Trainee Allowance ,i.e., confirmation of
days worked - Organize for Interview and call in candidates, Sit in Interviews,
Interview report and Summary, Regrets and On Boarding - To communicate to by sending Internal Job Adverts&Memos,
Effective&Communicating new entry, promotion/exits(In,
Up&Out),Career Clinics/Fairs, Surveys - Monitoring of SHE for respective branches on a Quarterly basis
- Managing the medical scheme,GPA/WIBA Compensations
- Assisting on Corporate Social Responsibility and Team Building
- Monthly HR Report
- Coordination of training with the Training Coordinator and the
Operations Manager - Assistance in procuring work permits for expatriates in conjunction
with the Legal team - Planning of induction programs (in Uganda or in diaspora countries)
for new staff or staff that are to be trained

Qualifications, Skills and Experience:
- The ideal candidate for the Human Resources Assistant job must hold
a Bachelor’s degree in Human Resource Management or related field - One year of experience in HRM
- Knowledge of the labor legislation governing the labor market.
(OSHA, and Employment Act.) - A great communicator and listener
- Broad knowledge and experience in recruitment, training and
development and performance management - Possess excellent problem-solving skills and team management
experience - Tactical focus, flexible & change maker
- Strong attention to detail Self-starter and motivated to move ahead
without direct instruction - Excellent interpersonal skills with proven ability to work with
multidisciplinary teams. - Experience working with international companies
- A team player who enjoys interacting with people of all levels in a
multicultural environment - Ability to effectively coordinate and handle employee issues around
the clock
