Job Summary:  The Programme Assistant delivers quality
services in administration and finance to internal and external clients. Under
the overall supervision of the Representative and direct supervision of the
Programme Coordinator Gulu Decentralized Office, the Programme Assistant will
provide administrative and secretarial support to the sub-Office in Gulu and
well as other satellite UNFPA offices in the region as deemed necessary.

 

The incumbent will support
the effective management of UNFPA programme activities in the areas of
population and development, reproductive health and gender.

 

You will demonstrate
a client-oriented, results-focused approach to providing administrative and
secretarial support to the sub-Office in Gulu and other UNFPA staff based in
other districts of the Northern Ugandan region.

 

Key Duties and Responsibilities:  

·       
Provide
administrative and secretarial support.

·       
Facilitate
incoming missions from Kampala or elsewhere.

·       
Maintain
filing system for UNFPA supported projects in accordance with established classification
system.

·       
Draft
correspondences on programme related issues in consultation with programme
officers.

·       
Facilitate
logistic support and security related issues.

·       
Maintain
Petty Cash

·       
Initiate
project needs assessment in consultation with programme officers

·       
Provide
overall management of premises.

·       
Provide
support to the sub-office and other satellite offices in the region by
coordinating and monitoring relevant business processes and procedures and
activities, paying attention to detail and adhering to deadlines.

·       
Effectively
provide general research support from records, reports and prepares periodic
and ad hoc reports on programme and project activities.

·       
Prepare
and maintains records documents and control plans for the monitoring of
project/programme implementation.

·       
Organize
meetings; initiate and coordinates preparation of agenda and necessary
documentation for meetings as well as workshops and conferences.

·       
Act as
Secretary to internal meetings.

·       
Draft
routine correspondences.

·       
Perform
other support duties as required.

 


Qualifications, Skills and Experience:

·       
The
ideal candidate for the United Nations Population Fund (UNFPA) Programme
Assistant job opportunity should have completed Secondary Level Education.
Required.

·       
Five
years of relevant experience in administrative and programme support

·       
Proficiency
in current office software applications and corporate IT systems.

·       
Languages:
Fluency in English; knowledge
of other official UN languages, preferably French and/or Spanish, is desirable.
