Key Duties and Responsibilities:
- Reception of Requests: Receive questions, requests and orders from internal clients, assess
and define the question and when necessary dispatch the order, based on
work instructions and guidelines from supervisor. - Provision of Information: Provide internal clients information on (progress of) facility and
support related subjects and answer their questions, based on agreements
with supervisor actively monitor and keep records of the
fleet/motorcycles/generators fuel consumption through weekly reports. - Office support activities: Welcome visitors and guests, provide coffee/tea, photocopy, bind and
archive of documents, carry out elementary administrative tasks (register
of receipts, invoices and log keeping) based on work instructions. - Office support activities: Welcome visitors and guests, provide coffee/tea, photocopy, bind and
archive of documents, Assist the finance department in administrative
duties not limited to (receiving and filling of invoices, systematic
documentation. Assisting in development and maintaining finance
information and being systematic in scanning of relevant documents.) based
on work instructions. - Stationary and mail: Record and distribute stock as required, ensure adequate supply of
stationary and take care of all incoming and outgoing mail and collect
deliveries, based on work instructions and from approved stationary
suppliers. - Intern- Cultural: Being
comfortable in dealing with foreign experts and visitors, and `Familiar
in dealing with various requests (both relating to personal comfort and
local knowledge) from the visitors - Telephone and reception: Answer and put through incoming calls, handle and register incoming
mails and faxes, connect outgoing calls and send faxes when needed, as
well as welcome and register visitors and maintain the telephone list,
based on work instructions and requests of employees. - Catering: Provide
catering services to employees, external parties and visitors, based on
work instructions - Cleaning: Supervise
the office cleaners to ensure that
they clean and tidy up the designated office area(s), collect, separate
and dispose waste, using the equipment as provided and following the work
instructions, and ensure stock of cleaning materials. - Security: Guard
the entrance to the SNV’s buildings, grounds and car fleet and identify
deficiencies in security issues (such as electric lamps, doors, windows,
etc) - Maintenance: Provide
maintenance services for buildings and inventory, based on maintenance
procedures and based on work instructions of the supervisor, and identify
when external maintenance services are needed. - Gardening: Clean
the garden and other outdoor areas, collect and dispose waste, plant and
maintain (water, trim, prune) plants indoors and outdoors, based on work
instructions
Qualifications, Skills and Experience:
- The ideal candidate for the SNV Netherlands Development Organization
Front Office Assistant job placement must hold a Diploma in Business
administration, secretarial studies, Entrepreneurship, Economics, and
Accounting. - One year working experience in logistics and administration. Private sector experience will be an
added value. - Professional training in front office management, procurement,
accounting and Information technology is desired. - Proven experience in supporting project planning, reporting and
budget management. - Proven experience in business development, programme design,
proposal writing, international donor and private investor relationship
management. - A self-motivated person with good leadership, teamwork, coaching,
communication, networking and organisational skills. - A good understanding of the local context and able to speak
Runyankore and other local languages - Excellent written and verbal communication skills in English.
- Proficiency in MS word, excel, PowerPoint and social media.
