Founded by Cuthbert and Olive Muhanguzi, the company was established on 23rd August 2007. Since its inception, S&S Ent Ltd has grown into a dynamic business with diverse operations, including a salon, washing bay, cyber café, supermarket, restaurant, and a private fresh produce bakery.

 

Job Summary:  The Procurement Officer at S&S Enterprise is responsible for managing the sourcing, negotiation, and purchasing of goods and services required for smooth operations. This role ensures that all procurements are executed cost-effectively, meet quality standards, and are delivered in a timely manner.

 

The Procurement Officer collaborates with various departments, manages vendor relationships, and implements procurement strategies that align with the company’s operational and financial goals.

 

The Procurement Officer at S&S Enterprise is a vital role that ensures the efficient, cost-effective procurement of goods and services essential to our operations.

Key Duties and Responsibilities:

Sourcing and Vendor Management:

  • Identify, evaluate, and select vendors and suppliers based on quality, cost, and reliability.
  • Negotiate contracts, terms, and pricing with suppliers to secure favorable conditions for S&S Enterprise.
  • Maintain strong relationships with vendors, monitoring performance, and ensuring compliance with contractual obligations.

Purchasing and Order Management:

  • Process purchase orders and manage procurement transactions in alignment with company policies.
  • Coordinate with internal departments to forecast demand, plan orders, and ensure timely delivery of goods and services.
  • Monitor order status and resolve any issues related to delivery delays or product discrepancies.

Cost Control and Budget Management:

  • Develop and implement cost-effective procurement strategies to reduce expenses while maintaining high-quality standards.
  • Monitor procurement expenditures and ensure adherence to the established budget.
  • Conduct cost-benefit analyses and market research to support strategic purchasing decisions.

Inventory and Supply Chain Coordination:

  • Work closely with the Inventory and Stores departments to align procurement activities with inventory management needs.
  • Assist in managing inventory levels, ensuring that the supply chain operates efficiently and stockouts or overstock situations are minimized.
  • Participate in regular reviews and audits of procurement processes to ensure accuracy and efficiency.

Compliance and Documentation:

  • Ensure all procurement activities comply with internal policies, applicable laws, and industry best practices.
  • Maintain detailed procurement records, including contracts, supplier evaluations, and transaction documentation, for internal audits and regulatory compliance.
  • Stay updated on changes in procurement regulations, market conditions, and industry trends, adapting strategies as necessary.

Continuous Improvement and Reporting:

  • Analyze procurement data and prepare regular reports to inform management on savings, performance, and opportunities for improvement.
  • Propose and implement process improvements to streamline procurement operations and enhance overall efficiency.
  • Collaborate with cross-functional teams to support broader business initiatives and drive continuous improvement.




Qualifications, Skills and Experience:

  • A Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or a related field is required.
  • Additional certifications (e.g., Certified Professional in Supply Management, Certified Purchasing Professional) are highly desirable.

Experience:

  • A minimum of 3-5 years of experience in procurement or supply chain management, preferably in a retail or multi-service environment.
  • Proven experience in vendor negotiation, contract management, and strategic sourcing.

Skills and Competencies

  • Analytical and Financial Acumen:
  • Strong analytical skills with the ability to interpret market trends, perform cost analyses, and make data-driven decisions.
  • Proficiency in using Microsoft Office Suite, particularly Excel, and procurement software.

  • Strong verbal and written communication skills to interact effectively with vendors, internal stakeholders, and senior management.
  • Organizational and Time Management:
  • Exceptional organizational skills with the ability to manage multiple procurement projects simultaneously.
  • Ability to prioritize tasks, meet deadlines, and maintain accurate documentation.
  • Problem-Solving:
  • Proactive in identifying challenges within the procurement process and implementing effective solutions.
  • Capable of managing supplier issues and resolving discrepancies promptly.

  • Ability to work collaboratively with various departments, fostering a spirit of teamwork and shared success.
