Job Summary: Reporting to Human Resource Manager , The Temporary Employee – Interpreter Services is responsible for coordinating the recruitment and management of interpreters, ensuring they meet all required qualifications. This role involves maintaining accurate records, processing payments, and handling timesheets for interpreters. The position also entails managing communication between interpreters, the clients (Embassy, and IOM), addressing queries and ensuring smooth operations. Additionally, the role includes preparing contracts, recommendation letters, and participating in interpreter meetings. The position supports the overall effectiveness of interpreter services while ensuring compliance with organizational policies as well as Ugandan laws.
Key Duties and Responsibilities:
- Coordinate recruitment of new interpreters by receiving applications and screening them to verify all requirements (URA TIN number, Bank details, copy of identity card, Interpol letter, CV, Education background).
- Data recording for applicants with all requirements in a spreadsheet. File the physical copies.
- Making direct call to know availability of interpreters per shared schedules from Embassy and IOM
- Sharing lists of available interpreters with all requirements to Embassy and IOM
- Receiving timesheets and processing payments for IOM interpreters
- Receiving signed forms and processing payments for Embassy of Sweden interpreters
- Submitting invoices to IOM and Embassy for reimbursement
- Filing submitted invoices to IOM and Embassy with our Finance for tracking
- Assisting Finance in reconciliation by using the payment spread sheet
- Oversee the interpreter phone for easy communication with IOM, Embassy and interpreters (the phone is loaded with airtime of UGX. 30,000 on a monthly basis)
- Handle and respond to interpreters’ queries and concerns directly and via calls or WhatsApp while managing the interpreters WhatsApp group.
- Support in preparing and drafting contracts for interpreters and ensure they are approved on time
- Prepare recommendation letters and certificates of service for interpreters whenever need arises.
- Work in close collaboration with ALIGHT partners and other key actors as far interpretation services are concerned Swedish Embassy and IOM.
- Organize and participate interpreter meetings whenever necessary.
- Work with the Human Resource Manager and operations to provide accurate and timely activity reports regarding interpreter services.
Qualifications, Skills and Experience:
- A minimum of a diploma in Business Administration , Human Resource , Development studies or any other relevant course
- A minimum of 1-year experience in relevant field.
- Fluency in English and Swahili is an added advantage.
Staff employed to work in ALIGHT will be expected to have:
