The African Initiatives for Relief and Development (AIRD) is a non-political, non-religious and non-profit making NGO with Country Program Offices in Burkina Faso, Burundi, Cameroon, Central African Republic, Chad, Democratic Republic of Congo, Ethiopia, Niger, Republic of Congo, South Sudan, Tanzania, and Uganda. AIRD’s objective is to offer operational support, including but not limited to supply chain, logistics, construction, infrastructure, environment, livelihoods and WASH in partnership with relief and development organizations that focus on disaster-affected and development-oriented areas. AIRD delivers for and through partners including but not limited to UN Agencies, international and national donor organizations and governments

 

Job Summary:   The objective of this post is to ensuring efficient daily operations, smooth coordination among departments, and effective head office administrative support.

 

Key Duties and Responsibilities:

  • Ensure all financial data, such as invoices, receipts, and payments, are recorded accurately in the accounting system to prevent errors in financial reports.
  • Process financial transactions, such as payments and receipts, promptly to maintain up-to-date financial records and meet payment deadlines.
  • Adhere to relevant accounting standards, regulations, and organizational policies to ensure proper handling of financial data.
  • Maintain organized and up-to-date financial records for easy retrieval during audits or financial reviews.
  • Regularly reconcile bank statements, accounts payable, and accounts receivable to ensure all discrepancies are identified and resolved in a timely manner.
  • Assist in the preparation of financial reports by providing accurate and timely data, ensuring the reports are compliant with organizational guidelines and accounting principles.
  • Manage interactions with vendors, clients, or internal stakeholders regarding billing, payments, and account queries in a professional and timely manner.
  • Ensure the smooth functioning of office operations, including handling administrative tasks such as filing, record-keeping, and document management.
  • Manage office supplies, ensuring timely replenishment without overstocking.
  • Ensure all office equipment is operational and serviced regularly.
  • Facilitate clear and timely communication between departments, staff, and external partners.
  • Handle incoming and outgoing correspondence (email, phone, mail) promptly and accurately.
  • Ensure smooth coordination of office activities and scheduling.
  • Provide excellent customer service to internal and external clients, ensuring inquiries are addressed quickly and professionally.
  • Serve as the point of contact for visitors and ensure their needs are met in a courteous manner.
  • Resolve administrative issues and escalate problems when necessary to avoid disruptions.
  • Maintain organized and easily accessible employee files, ensuring documents are correctly labelled, filed, and updated within 1 week of receiving new information.
  • Assist in payroll processing and benefits administration to ensure employees are compensated accurately and on time by collecting and processing time sheets, assist with benefits claims processing and management of leave entitlement utilization.
  • Provide administrative support for employee relations initiatives and assist in resolving minor HR issues through assisting in organizing employee engagement activities, helping to facilitate conflict resolution, and supporting HR Coordinator in handling employee complaints or concerns.
  • Provide logistical support for employee training and development programs by coordinating training sessions, tracking employee participation, and helping to manage training materials and resources.
  • Maintain the confidentiality of sensitive employee information by ensuring secure handling of personal and confidential employee data, follow data protection protocols, and preventing unauthorized access to HR systems.





Qualifications, Skills and Experience:

  • Bachelor’s degree in Finance, Accounting, Business Administration accounts option or any other related Business Studies.
  • At least 4 years working experience in accounting, office administration and employee relations management

  • Experience in the use of computers and office software packages (MS Word, Excel, etc.) and knowledge of spread sheet and database packages
