Job Summary:   The Membership Relations Officer acts as an ambassador for member needs and inquiries to ensure smooth running of the overall membership desk. He/She ensures that recruitment of new members is achieved, and retention is maintained. Additionally, to also support savings, shares growth and loan recovery as per target. The officer will report to the General Manager (GM).

 

Key Duties and Responsibilities:

The incumbent will be responsible for:

  • Recruitment and maintenance of new members from different UN-Agencies in Uganda or abroad and retention of accounts.
  • Following up with respective officers to ensure that member requests especially savings withdrawals, loan requests, access to statements online and update of member accounts with bank deposits are done on time.
  • Ensuring that all membership files for new members are complete with information before opening up accounts in the system.
  • Participating in UNS-SACCO events and activities like AGM, member training and offer assistance.
  • Performing front desk functions which include receiving members and attending to them by directing the visitors to the officers they want to meet.
  • Confirming of member requests especially savings withdrawals via the office landline for verification.
  • Ensuring that member biodata is up to date in the Business Information system (BIS).
  • Updating the shares registers whenever shares are bought and capturing information for new members in the registers.
  • Carrying out membership drives in different UN-Agencies to meet with prospective new members and listen to old member requests as well.
  • Update all UNS-SACCO marketing materials like brochures and price guides.
  • Monitoring of system standing orders for members.
  • Following up with dormant members to re-activate their accounts.
  • Following up on Loan Recoveries as per arrears list to ensure a quality loan portfolio.
  • Any other duties in relation to the position.





Qualifications, Skills and Experience:

  • Bachelor’s degree in Marketing, Business Administration (bias in marketing), Communications and/or Public Relations from a recognized University;
  • Computer knowledge is key.

Work Experience:

  • A minimum of 18 months of progressively responsible experience in sales, membership drives, loan recovery and client recruitment in a microfinance or SACCO, meeting targets of a competitive financial institution or marketing institution including business finance analysis, research and guidance with a first level university degree is required.
  • An advanced degree will be an added advantage.
  • Experience in assisting to guide small/medium sized teams and working in a fast-paced environment is desirable.
  • Working experience with the financial and marketing institutions regulations, rules, procedures, policies and strategies is desirable.
  • Experience with an Enterprise resource planning system (ERP) is desirable.
  • Experience in data analytics or related area is desirable.
  • Working experience with national and international systems is desirable.
  • Proven experience working with a Banking institution, marketing firm or a SACCO is an added advantage.

  • Professionalism: Has very good knowledge of internal policies, processes and procedures especially of marketing, banking and micro-finance institutions.

  • Has ability to apply knowledge of various SACCO, Marketing and micro-finance administrative, members, clients and membership/client relations work situations.
  • Has understanding of the functions and organization of the work unit and of the organizational structure and respective roles of related job.
  • Demonstrates use of initiative and makes appropriate linkages in work requirements and anticipates next steps of the member/client needs and responds accordingly. Is able to identify, independently assess, formulate recommendations and/or resolve a wide range of issues/problems, around member needs undertake research and gather information from standard sources on the desires of members.
  • Is able to work well with figures including ability to analyze and understand financial data and relate to what will attract members. Has ability to perform analysis, modelling, and interpretation of data in support of decision-making.
  • Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges when dealing with members/clients: remains calm in stressful situations; Takes responsibility for incorporating members/clients perspectives and ensuring the equal service to all members or clients.
  • Planning & Organizing: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.
  • Client Orientation: Considers all those to whom services are to be provided to be “clients not merely members” and seeks to see things from clients’ point of view; establishes and maintains productive membership/client drive by making them trust and respect for SACCO as a financial a hub were any information on credit and savings UNS-SACCO is the advisor; identifies clients’ needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems; keeps members/clients informed of progress of the SACCO; meets timeline for delivery of products or services to members/clients on all possible platforms including social media.
  • Languages: English is the working languages of the United Nations Staff SACCO. For the position advertised, fluency in English is required.
