Job Summary: Reporting to the Head of Commercial, the Sales Administration Coordinator has the primary responsibility for supporting all field sales activities and projects. The role is HQ-based and requires a high level of organization skills. The role is suitable for an individual who is passionate about data analysis, sales, marketing and coordinating support to various teams to succeed . The successful candidate should be keen on working in a thriving social impact business focused on small-scale farmers with an aim of transforming livelihoods.
Key Duties and Responsibilities:
Incentive Schemes Management
- Verify, track, and compile all Refer & Earn payments due and submit for approval
- Compile, verify, and submit for approval all employee and sales team commissions and/or bonuses
- Track, compile, and apply commission penalties across the sales team prior to payout
- Compile, verify, and submit all promotional prizes and rewards due during sales promotion events
- Support the administration and continuous improvement of sales incentive processes across the sales organization to enhance efficiency, accuracy, and timeliness of payouts and reporting
Agent Support
- Manage Field Sales Agent registration, ensuring all onboarding requirements are met prior to training and activation
- Issue IDs and distribute branding materials to active Field Sales Agents
- Respond to and coordinate resolution of agent queries related to registration, IDs, sales leads, commissions, and branding items
- Act as a liaison between Agents, Team Leads, and the Training Team to support smooth onboarding of new agents
- Track and report on active and inactive sales agents, as well as key agent performance metrics, on a regular basis
- Generate proforma and commercial invoices in support of sales operations, ensuring accurate and timely issuance
Commercial Performance Tracking
- Analyse and report on performance metrics across field sales, telesales, and business development, including leads, sales, agent recruitment, and overall performance trends
- Compile Budget vs Actual (BvA) reports based on key performance indicators
- Track and analyse budget expenditure against performance metrics and operational targets
- Support the timely processing of client accounts for refunds and ensure proper documentation and tracking of related transactions
- Maintain accurate and up-to-date performance dashboards and reporting tools to support decision-making
Sales Support
- Support new product pilots and launches, including performance tracking and reporting
- Ensure all client data is complete, accurate, and consistently updated in CRM and ERP systems
- Ensure dashboards and reporting tools reflect accurate and consistent data across all sales reports, flagging and correcting discrepancies where necessary
- Support the compilation, submission for review, and completion of partnership performance reports
- Coordinate the allocation and dispatch of demo systems, branding materials, and marketing assets in liaison with Marketing and Operations teams
- Act as liaison between Sales, IT, Product, Finance, Logistics, and Customer Support
- Support logistics coordination and travel arrangements for the commercial team where required
- Monitor the health status of the sales team’s portfolio and communicate updates to the team in a timely manner, in line with the frequency agreed upon with the Head of Sales.
- Sales performance presentation to the sales team.
- Develop and track sales targets versus actual performance on a daily, weekly, monthly, quarterly, half-year, and full financial year basis.
- Ensure the monthly targets are communicated to the sales team by the first working day of each month.
Qualifications, Skills and Experience:
- Bachelor’s degree in Business, Economics, Statistics, or a related field
- At least 3 years’ experience in a similar role supporting field sales or commercial operations teams
- Hands-on experience in data collection, analysis, and reporting
- Strong proficiency in Excel/Google Sheets (pivot tables, lookups, reporting, dashboards)
- Experience using Power BI or similar data visualization tools is an added advantage
- Familiarity with CRM and ERP systems (e.g., Salesforce, TundaHub, or similar platforms)
- Strong analytical skills with the ability to organize, interpret, and present data clearly
- Excellent communication and coordination skills, with the ability to support multiple stakeholders
- Experience working in a target-driven sales environment is an advantage
- High attention to detail with strong organizational and execution skills
- Comfortable working in a fast-paced, structured, and deadline-driven environment
- Proactive, reliable, and eager to learn and improve processes
- Experience in solar, renewable energy, or off-grid solutions is an added advantage
