Job Summary: The overall purpose of the job is to provide logistics support to the Facilities and Fleet Manager to ensure that all the relevant services are provided with proper licences, insurance and documentation are obtained in time.
Key Duties and Responsibilities:
- Fleet Management: Manage all aspects of the company’s fleet, including vehicle acquisition, maintenance, disposal, and replacement.
- Vehicle Maintenance: Develop and implement maintenance schedules to ensure all vehicles are properly serviced and maintained according to manufacturer guidelines and regulatory requirements.
- Compliance: Ensure compliance with all relevant laws, regulations, and industry standards related to vehicle operation, maintenance, and safety.
- Cost Control: Monitor and control fleet operating costs, including fuel expenses, maintenance expenses, and repair costs, to optimize efficiency and reduce expenses.
- Driver Management: Supervise and train drivers to ensure safe and efficient operation of vehicles, including adherence to traffic laws, company policies, and safety procedures.
- Performance Tracking: Implement systems to track and analyze vehicle performance, fuel consumption, mileage, and other relevant metrics to identify opportunities for improvement.
- Inventory Management: Maintain accurate records of all vehicles in the fleet, including registration, insurance, maintenance history, and other documentation.
- Procurement: Coordinate the acquisition of new vehicles, negotiate lease agreements, and evaluate suppliers to ensure cost-effective and reliable transportation solutions.
- Emergency Response: Develop contingency plans and protocols for responding to accidents, breakdowns, and other emergencies involving fleet vehicles.
- Reporting: Prepare regular reports and presentations for management, summarizing fleet performance, expenses, and compliance status; and
- Any other responsibilities assigned to the job holder by the supervisor from time to time.
Qualifications, Skills and Experience:
- Bachelor’s degree in business administration, logistics, transportation management, or a related field (or equivalent experience).
- Proven experience in fleet management or a related field, with a strong understanding of vehicle maintenance, logistics, and transportation operations.
- Knowledge of regulatory requirements and industry best practices related to fleet management, safety, and compliance.
- Excellent organizational, analytical, and problem-solving skills.
- Proficiency in fleet management software, GPS tracking systems, and other relevant technology tools.
- Proven experience working in an office environment.
- Proficiency in all Microsoft Office applications.
- Working knowledge of business management.
