About Organisation:
The Petroleum Authority of Uganda (PAU) is a statutory body established under Section 9 of the Petroleum (Exploration, Development and Production Act 2013, and in line with the National Oil and Gas Policy for Uganda which was approved in 2008. The PAU’s mandate is to monitor and regulate the exploration, development and production, together with the refining, gas conversion, transportation and storage of petroleum in Uganda. This includes ensuring that petroleum operations in Uganda are carried out in accordance with the relevant laws, regulations, guidelines, statutes and in line with international best practice for the petroleum industry.
Job Summary: Provide administrative and secretarial support to the Head of Directorate and the Directorate to ensure the efficient and effective running of the office, thereby supporting the Petroleum Authority of Uganda (PAU) in achieving its mandate.
Key Duties and Responsibilities:
- Provide secretarial services in the Office of the Director, including taking dictations, transcribing, editing, and presenting accurate work of good quality in a timely manner to the PAU standard for the Director to review.
- Record incoming and outgoing correspondences, scanning, photocopying, and providing accountability of all those correspondences coming in and going out of the Office of the Director, especially payment requisitions.
- Coordinate and maintain the diary of meetings, including organizing appointments, meetings, and official events.
- Participate in taking minutes during ExCo, Management, Directorate, General Staff, or any other meetings organized by the Authority.
- Organize facilities for meetings/workshops or official events in support of the Authority’s activities, including booking venues and planning for and providing logistics like equipment, stationery, refreshments, and other facilitation for all activities.
- In charge of tracking and updating the status of implementation of actions assigned to the Director.
- Act as the first point of contact for records and documents in the respective offices and ensure that the requested documents/records are provided in a timely manner.
- Act as the first point of contact for the Directorate’s visitors and ensure the provision of exemplary service to them.
- Attending to callers either in person or on telephone and ensure that incoming emails and outgoing emails are adequately managed.
- Ensure that all correspondences in the Office of the Director are appropriately filed.
- Develop and manage Databases for the Director’s engagements, reports, minutes, correspondences, and clientele contacts for the Director.
- Requisitioning for and managing the Directorate office stationery and equipment.
- Ensuring cleanliness and orderliness of the office of the Director.
- Support in organizing the activities of the Office through compiling and reviewing Monthly and Quarterly reports from the different Departments and following through with actionable officers.
- Undertake any other assignments as may be directed from time to time.
Qualifications, Skills and Experience:
- An Honors Bachelor’s degree in Administrative and Secretarial Studies, Office Management, or any other related field.

- A minimum of three (3) years relevant working experience in a similar environment.
