Job Summary: The HR & Admin Intern will support Kenfreight’s Human Resource team in daily operations under the guidance of the HR & Admin Manager. Key responsibilities include assisting with recruitment and selection, maintaining accurate employee records, managing HR data and reports, and providing general administrative support. The role also involves coordinating training sessions and HR-related events, contributing to a positive organizational culture, and ensuring smooth workflow across HR functions.
This position is ideal for an early-career professional with strong digital skills and a commitment to diversity, equality, transparency, and human rights.
Key Duties and Responsibilities:
- Recruitment Support:
- Assist in drafting, reviewing and publishing job descriptions/ adverts on recruitment platforms.
- Support in obtaining and filing recruitment approvals for audit purposes.
- Assist in screening applications and CVs based on role requirements.
- Support in monitoring the HR jobs email inbox and responding to inquiries.
- Assist the HR Manager in corresponding with applicants and scheduling interviews.
- Support in communicating job vacancies internally and externally.
- HR Records & Compliance:
- Assist in maintaining and updating personnel files and HR databases.
- Support in preparing documentation for annual audits, ensuring records are accurate and accessible.
- Assist in updating the company and departmental organograms and sharing with respective.
- Support in tracking employee leave and updating the HR systems.
- Employee Engagement & Communication:
- Support in planning and coordinating staff/ departmental meetings, preparing agendas, and taking minutes.
- Assist in organizing employee welfare activities, team-building events, and training programs.
- Administrative Support:
- Assist in managing office correspondence and organizing office supplies.
- Support in maintaining a well-structured filing system.
- Assist in procurement processes by preparing purchase requests and gathering supplier quotations.
- Event & Logistics Coordination:
- Support in planning and executing internal meetings, workshops, and HR-related events.
- Assist in coordinating venue bookings, travel arrangements, and logistics for staff activities.
- Onboarding & Induction:
- Assist in preparing staff induction materials and supporting onboarding for new employees and interns.
- Compliance: Support the HR team in ensuring all company processes comply with laws (labour & Health, Safety, Security, and Environment), organizational policies, and promoting a safe, secure, and compliant work environment.
Qualifications, Skills and Experience:
- Bachelor’s degree in human resources.
- Must have graduated from a recognised top tier university in 2025.
- Must understand HR functions and office administration.
- Must possess strong interest in HR, administration, and office management.
- Prior experience in HR support or office administration is an advantage but not mandatory.
- Excellent written and verbal communication skills in English.
- Strong interpersonal skills and ability to work collaboratively.
- High level of confidentiality and integrity.
- Proficiency in MS Office applications and internet research.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- Attention to detail and accuracy in all tasks.
- Ability to work efficiently in a fast-paced environment.
