Job Summary: We are seeking a highly organized, proactive, and trustworthy Full-Time Personal Assistant to the CEO. This role demands a professional who can support a fast-moving CEO involved in strategic planning, investor relations, partnership building, program acceleration, documentation, and operational oversight.
The ideal candidate must be detail-oriented, excellent at communication, strong in coordination, and able to work efficiently in a dynamic environment while maintaining confidentiality.
Key Duties and Responsibilities:
- Manage the CEO’s daily schedule, appointments, meetings, and travel arrangements.
- Maintain an organized calendar, ensuring timely reminders and preparation for all engagements.
- Screen, draft, and respond to emails on behalf of the CEO.
- Handle follow-ups with partners, investors, team members, and stakeholders.
- Draft proposals, reports, strategic plans, meeting minutes, and presentations.
- Support the CEO during investor meetings, accelerators, and online/offline programs.
- Prepare quarterly board meeting documentation and follow-up actions.
- Assist in coordinating internal and external meetings.
- Ensure timely submission of applications, proposals, and program requirements.
- Help manage organizational systems, digital files, and confidential information.
- Coordinate personal and professional tasks as required to support executive effectiveness.
- Assist with navigating online platforms used for accelerators, grant portals, or investor updates.
- Manage high-priority tasks during tight deadlines.
- Represent the CEO when necessary to ensure continuity of communication.
- Perform any other lawful tasks required by the CEO to ensure smooth operations and effectiveness.
Qualifications, Skills and Experience:
- Must be living in or very near Kisaasi, Kampala.
- Minimum diploma or bachelor’s in business administration, communications, management, or related fields.
- Strong communication skills (spoken and written English).
- Highly organized, proactive, and reliable.
- Ability to multitask and manage shifting priorities.
- Discretion and confidentiality with sensitive information.
- Strong computer literacy: Email management, MS Office/Google Workspace, online applications, etc.
- Previous experience supporting a senior executive is an added advantage.
