Job Summary: To provide high-level administrative, coordination, and organizational support to the management team of Agricado Farms. The role ensures smooth communication, structured planning, effective coordination of internal/external activities, and accurate reporting systems across departments.
Key Duties and Responsibilities:
Administration & Office Support
- Manage day-to-day administrative tasks to support management operations.
- Draft, proofread, and format correspondence, memos, reports, and minutes.
- Maintain structured digital/physical filing systems for management documents.
Coordination & Planning
- Coordinate inter-department communication and ensure timely flow of information.
- Follow up with section heads/managers on action points, deadlines, and outstanding tasks.
- Assist management in planning meetings, farm activities schedules, and internal reviews.
- Collect internal reports (daily, weekly, monthly) and group/compile them into clear management summaries.
Calendar & Appointment Management
- Manage calendars management team.
- Schedule and confirm meetings, appointments, field visits, and conference calls.
- Ensure all meeting logistics are arranged (venue, materials, reminders, follow-up notes).
Research & Information Management
- Conduct research (market, technical, administrative or operational topics) to support decision-making.
- Summarize findings logically and present them to management in a clear format.
- Assist in drafting internal procedures, policies, and forms when requested.
Communication & Relationship Support
- Serve as the administrative point of contact between management, staff, suppliers, and external stakeholders.
- Maintain professional communication via email, phone, and written correspondence.
- Support management with internal announcements and document distribution.
Qualifications, Skills and Experience:
- Diploma or degree in Office Management, Secretarial Studies, Communications, or a related field.
Experience:
- Minimum 3 years experience in administrative, coordination, or office management roles.
- Experience supporting senior management or multi-department teams is an added advantage.
Technical Skills:
- Advanced Excel skills (data entry, formatting, formulas, summaries, simple dashboards).
- Strong email and calendar management (preferably Google Workspace or MS Outlook).
- Proficiency in MS Office / Google Workspace (Docs, Sheets, Slides).
Soft Skills:
- Excellent verbal and written communication.
- Strong logical reasoning, organization and problem-solving abilities.
- High attention to detail, accuracy, and documentation discipline.
- Ability to prioritize tasks and manage time effectively.
- Strong interpersonal skills and a professional attitude.
- Ability to work with discretion and maintain confidentiality.
