Job Summary: Manage exports department with the entity, which entails direct responsibility of managing the P&L, staff structure and operational aspects of the department.
Key Duties and Responsibilities:
Manage the exports team
- Inform the team of entity strategy/evolutions and communicate on required alignments
- Set goals in terms of quality of service and cost control
- Assess the performance of the team
- Develop and maintain the competencies of the team
- Ensure smooth transfer of files/issues when there change in team
- Set up induction programs for new exports staff in collaboration with Human Resources, and interview / select potential staff.
Build and adapt process and organisation:
- Build and review regularly the exports organisation including the set up and skills
- Define SOPs in collaboration with QHSE and HR
- Organise quality review within operations and implement validated recommendations
- Ensure exhaustive use of business tools such as Trakit and Tally by the team within department.
Client Portfolio Management:
- Regularly review the client portfolio of the department regarding quality of service delivered, profitability and available means.
- Ensure regular client engagements and monthly KPI meetings arranged
- Ensure best quality of service is delivered to client and charges correctly billed as per service agreement.
- Ensure that no potential business with existing clients is lost
- Define the general tariff grid and submit to MD for validation
- Validate/ support sales departmental actions for specific quotations (technical validation and tariff)
- Support sales department during client visits and presentation
Operational controls and File management:
- Closely monitor quality service and profitability for each customer
- Update and review invoicing lines (once a year minimum)
- Responsible for the achievement of budget goals in terms of gross margin, costs and disbursements and quality service.
- Involvement in credit control committee
- Validation of cash clients in the business software.
Manage operational relationship with subcontractors.
- In charge of operational relationship with selected subcontractors- internal and external (inclusive of tariff negotiations following guidance from MD)
- Organise and follow the quality of service delivered by the subcontractors and provide corresponding feedback to the MD.
- Ensure the balance of workload within the team and between subcontractors.
TARGETS AND GOALS:
- 100 % target on Quality-of-service KPI’s
- 100% target on budget.
Qualifications, Skills and Experience:
- Bachelor’s degree in any Business Course
- Master’s degree is an added advantage
- At least 07 years’ experience in clearing and forwarding
- At least 3 years’ experience as a manager.
- Good knowledge of Microsoft Office.
- Good use of email
- Excellent communicator.
