Job Title: Retained Editorial Administrator

Job Summary: To provide efficient and effective administration services in the Editorial Department as well as ensure petty cash payouts are made.
Key Duties and Responsibilities:
- Keeps track of Editorial staff productivity and shares monthly reports of the same.
- Provides full administrative back up to the National News Editor.
- Compiles a list of submitted stories and ensures correspondents are paid on time.
- Verifies editorial expenses, claims and contributors’ payments for the National News Editor’s approval.
- Prepares contributors’ contracts in consultation with legal and National News Editor and ensures payments are made within agreed terms.
- In liaison with the procurement department, supports production of business cards, identity cards and updates the monthly airtime list for the Editorial staff.
- Maintains a schedule of correspondents on regular retainer fees and proposes additions and reviews.
- Oversees placement and learning of Editorial interns.
- Liaises with the Transport Officer to ensure Editorial is supported.
- Reviews and recommend journalists meals and travel claims are in line with the company’s guidelines.
- Ensures the disbursement of petty cash.
- Keeps track of newsroom equipment and ensures its proper handling.
- Ensures timely collection of invoices for all contractors and submits to finance for clearance.
- Maintains an updated database for all approved contractors/correspondents and temporary staff and interns.
- Manages leave schedules for newsroom staff, contractors and correspondents.
Qualifications, Skills and Experience:
- Academic: University Degree in Business Administration or related any related field from an accredited institution
- Professional: Diploma in Journalism
- Experience: At least 3 to 5 years’ experience in an administration role, preferably for a media company and proven experience in meeting targets and managing people
