Job Summary: The Operations Manager is responsible for the overall coordination and execution of daily operational activities to ensure seamless e-commerce operations. The role also includes oversight of administrative and HR functions, team performance tracking, staff welfare, and ensuring that all company operations run smoothly and efficiently. The Operations Manager is expected to exercise utmost discretion and confidentiality in all matters pertaining to company processes and staff. This position is a critical link between strategy and execution, supporting the Managing Director in aligning teams with business objectives.
Key Duties and Responsibilities:
- Supervise daily operations across customer service, billing, inventory, logistics, and delivery.
- Coordinate the workflow between departments to ensure timely order processing and fulfillment.
- Track departmental KPIs and compile detailed weekly operational reports.
- Evaluate performance metrics for departments and recommend areas for improvement.
- Oversee schedules, assign responsibilities, and ensure task completion across departments.
- Conduct onboarding and orientation for new staff.
- Promote a culture of accountability, motivation, and teamwork.
- Manage internal administrative functions including utilities, licenses, permits, and office supplies.
- Ensure the work environment is well-maintained and conducive to productivity.
- Assist in recruitment by reviewing applications and coordinating interviews.
- Maintain and update employee records including attendance, leave tracking, and contracts.
- Manage the staff leave calendar and ensure proper handovers.
- Coordinate staff welfare initiatives including team lunches, birthday celebrations, and wellness support.
- Plan and execute team-building activities and in-house events to improve morale and collaboration.
- Maintain strict confidentiality of company operations, systems, processes, and internal communications.
- Ensure that sensitive information related to suppliers, inventory movement, pricing, HR matters, and strategic decisions does not leak to unauthorized personnel or the public.
- Monitor order delays, returns, and client complaints to ensure resolutions are achieved promptly.
- Provide feedback to relevant departments based on client service experiences.

Qualifications, Skills and Experience:
- Bachelor’s degree in Business Administration, Operations Management, Human Resource Management, or a related field.
- Minimum 3 years of experience in a supervisory or operations coordination role.
- Familiarity with e-commerce, inventory systems, or ERP (especially Odoo) is an added advantage.
- Prior experience managing people and company processes effectively.
