Job Summary:
- Effecting receipt of duly signed and stamped copies of ALL documents that went out for delivery to Customer sites and checking for comments/complaints on them. ·
- Escalating documents where there are valid complaints to OMP for guidance and effecting follow-up action on such complaints. ·
- Prompt and accurate processing of Transport Contractor bills and claims. · Implementing timely Transit Loss Invoicing to Supply (and Distribution) Transport Contractors, collection of outstanding and monitoring credit on these accounts. · Monitor and report volume and earnings for each Transport Contractor every month (for a check against our contractual obligations and cost tracking).
Key Duties and Responsibilities:
Prompt / Accurate Freight Bills Processing:
- The Transport Assistant ensures that freight bills are promptly received, processed accurately by checking that the deliveries are all confirmed as received by the Customer, the dues are correctly accrued in SPE and the computation is correct.
Transit Loss & Other Billings To Transport Contractors:
- Compile and forward ALL transit loss invoices to Transport Contractor. Ask for payment to be made on time and follow-up to ensure this is done.
Collection Of Copies of ALL Delivery Documents from Customers:
- Keep a daily record of copies of ALL the delivery documents that are expected back. On daily basis, receive these, tally them to what is expected and examine them for any complaints before filing.
Monitoring Transport Contractor Accounts Statements:
- Regularly issue statements to Transport Contractors. Highlight disputed items for resolution and keep level of outstanding in check.
Challenges:
- Thoroughness while handling large amounts of documentation and checking them for accuracy.
- Consistency and timeliness in processing documentation for Contractor Invoicing, Freight bills, etc.
KPIs:
- No of loss claims invoiced to Transport Contractors (100%)
- No of delivery documents returned after due endorsement (100%)
- Over-dues that are not paid up / delayed payments from Transport Contractor (None) -Freight Claims that are not accurately processed (None)
- Freight claims whose processing is delayed (None) Complexities: Complexities related to the Transport Assistant’s job are the requirement that the Transport Assistant works closely with Transport Contractors and their Representatives to get payments due to both Shell and the Contractor done on time and the statements with each of the Contractors are kept clean. Decision Making: The Transport Assistant decides on:
- When bills from Contractors must come in for processing – When documents for confirmation of delivery must be brought back
- Customer complaints that should be escalated or those that are not valid – Details regarding the build up of cost of deliveries (distances to sites)
- Highlighting Overdue payments from the Transport Contractors Contacts: The job of the Transport Assistant will require regular liaison with the following parties:
- Transport Contractors & Supervisors -Sector / Territory Managers -Customers
Qualifications, Skills and Experience:
The Transport Assistant should have knowledge and skills in the following areas:
- Working with spreadsheets in MS Applications
- Ability to accurately check a large number of documents
- Capability to work with SAP and extract accrual reports from the system
- Basic Accounts knowledge and ability to keep statements / oversee credit.
