Key Duties and Responsibilities:

Property Operations & Maintenance Management:

  • Oversee daily operations and maintenance of all condominium properties, ensuring that they are well-maintained, safe, and attractive to potential tenants or buyers.
  • Coordinate regular maintenance, repairs, and upgrades for both residential and common areas (e.g., parking lots, swimming pools, gyms, elevators).
  • Supervise on-site maintenance staff and third-party contractors, ensuring that maintenance tasks are completed on time and within budget.
  • Develop and implement preventative maintenance plans to reduce the likelihood of emergency repairs and extend the life of property assets.

Tenant and Customer Relations:

  • Serve as the primary point of contact for residents, tenants, and property owners, addressing concerns, resolving complaints, and maintaining high levels of satisfaction.
  • Provide excellent customer service to all tenants, ensuring a positive living experience and fostering long-term tenant retention.
  • Handle tenant complaints and disputes in a professional and efficient manner, ensuring resolutions that are in the best interest of both the tenants and Buildnet Uganda.
  • Develop and maintain strong relationships with residents to understand their needs and provide proactive solutions.

Leasing & Sales Support:

  • Assist with the leasing process for rental units and support the sales team for condominiums that are being sold.
  • Manage property listings, conduct property viewings, and screen potential tenants or buyers to ensure suitability.
  • Prepare relevant agreements, ensuring compliance with all legal and company requirements. Negotiate lease terms and renewal agreements with tenants.
  • Monitor the rental income and occupancy rates of properties, working to maintain optimal occupancy and competitive rental rates.
  • Support the sales team by providing key information about available units, facilitating property viewings for potential buyers, and assisting with the sale process.

Financial Management & Reporting:

  • Develop and manage the budget for each property, ensuring that all expenses are within budget and appropriately allocated.
  • Oversee rent collection, manage late payment issues, and enforce payment terms as per lease agreements.
  • Prepare regular financial reports for senior management, outlining income, expenses, and profit margins for each property.
  • Ensure timely payment of property-related bills (e.g., utilities, maintenance, insurance) and track operating expenses to ensure cost efficiency.
  • Manage property accounts, ensuring that all revenue and expenditures are accurately recorded.

Compliance & Regulatory Management:

  • Ensure that all properties are in compliance with local building codes, health and safety regulations, and tenant rights laws.
  • Stay updated on real estate laws, zoning requirements, and other regulations affecting property management and construction.
  • Coordinate with legal teams to resolve disputes, handle eviction proceedings, and ensure compliance with lease terms and property laws.
  • Manage the renewal of property-related insurance policies, ensuring comprehensive coverage for risks related to the properties.

Property Marketing & Tenant Retention:

  • Develop and implement marketing strategies to attract new tenants and buyers, including digital marketing, advertising, and open houses.
  • Oversee the presentation of properties to ensure that they are clean, attractive, and well-maintained.
  • Foster tenant retention by creating a positive environment through community events, addressing tenant feedback, and ensuring that tenant needs are consistently met.
  • Analyze market trends and adjust marketing and leasing strategies to maintain a competitive edge in the property market.

Vendor & Contract Management:

    • Oversee the management of third-party service providers (e.g., cleaning, landscaping, security services, contractors) to ensure that all services meet quality standards and are delivered as agreed upon.
    • Negotiate and manage contracts with vendors, ensuring the best terms and services for the company while staying within budget.
  • Ensure all vendor invoices are accurately processed and payments are made in a timely manner.

Property Inspections & Documentation:

  • Conduct regular inspections of properties to ensure they meet Buildnet Uganda’s quality standards and address any maintenance needs.
  • Prepare reports based on inspections, noting any issues or areas for improvement and recommending corrective actions.
  • Ensure that all property documents (e.g., lease agreements, maintenance records, tenant communications) are properly stored, up-to-date, and easily accessible.

Team Leadership & Staff Development:

  • Manage and supervise the property management team, including on-site staff, maintenance personnel, and other employees involved in property management.
  • Conduct performance reviews, offer training, and provide mentorship to team members to enhance their skills and performance.
  • Foster a positive and productive work environment within the property management team.





Qualifications, Skills and Experience:

  • Bachelor’s degree in Real Estate, Property Management, Business Administration, Construction Management, or a related field.
  • Professional certifications in property management are an added advantage.

Experience:

  • At least 5 years of experience in property management, particularly with residential properties or condominiums.
  • Proven track record in leasing, sales support, and property maintenance, with experience in both residential and commercial real estate.
  • Familiarity with property management software and Microsoft Office Suite.

Skills:

  • Strong leadership and interpersonal skills with the ability to build and maintain relationships with tenants, staff, and service providers.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Financial acumen with the ability to create budgets, manage expenses, and generate financial reports.
  • Knowledge of local real estate laws, building codes, tenant rights, and property management regulations.
  • Strong problem-solving and conflict resolution skills, especially in tenant relations.
  • Ability to adapt quickly to changes in the property market and adjust strategies accordingly.
