Job Summary:   The Office Assistant shall report to the Administration Officer to provide administrative support in general administrative duties arising from day to day running including messaging services; office cleaning and orderliness, kitchen maintenance and supporting staff with activities related to organizing for meetings, photocopying, binding, and dispatches etc.

 

Key Duties and Responsibilities:

  • Perform a variety of cleaning functions to keep the office premises clean and tidy, ensuring that he/she.
  • Clean the floors, walls, doors, windows, ventilations and lavatory areas. Empties disposal bins while observing infection control protocol. Dusting desks, chairs, computers, and other equipment on use by staff to ensure that they are dust free and usable.
  • Sets up conference rooms in preparation for meetings as required. This includes but not limited to dusting and arranging furniture, laying out of pens, paper, ensuring all refreshments are provided in time, as well as clearing up rooms after meetings.
  • Cleans the kitchen, ensuring that all crockery, cutlery, glasses, and any other utensils as required, are kept clean, polished and in a good and hygienic condition. Maintain records of such utensils and report any breakage or loss for ease of tracking
  • Supervise the work of cleaning company employees to ensure high quality cleaning services for all areas.

General Administrative support

  • Prepare and serve tea, water, and foods to staff and visitors. At all times maintain high standards of hygiene and cleanliness in the preparation, handling and serving of tea, foods, drinks, and other consumable items provided. Monitor the office water dispensers to ensure that it has adequate supplies and functioning normally.
  • Ensure garbage is collected from office premises whenever due or at intervals as per contracted collectors and burn paper and similar materials as necessary. Supervise the services of garbage collectors and other external service providers and report any breach of contract on their part
  • Monitor performance of the security personnel deployed at the premises, and regularly patrol of the compound, fences, recording and reporting any unusual event noticed.
  • As part of administration team, exhibit high degree of trust, and respect to office property, and advise on any security risks noted, be alert, sober and present at the station as required in line with PI code of conduct. Take custody of any property left unattended to in the compound and ensure their safety.
  • Support in timely opening of office premises in the morning and locking up at close of business.
  • Supervise slashing of compound and other office repairs by external contractors.
  • Perform regularly inspection of plumbing, drainage, sewerage, electrical fittings and other installations to ensure that they are in proper order. Check and where possible, fasten loose screws, taps and joints, assist with light painting jobs, and any other house maintenance exercise as need be.  Alert the supervisor of any need for repair or maintenance as required.
  • Support with clerical duties including scanning, photocopying, printing, and binding of organization documents, while observing confidentiality of information therein.
  • Provide any other support as may be requested




Qualifications, Skills and Experience:

  • Minimum of Ordinary Certificate of Education (O-level), additional training/experience as security personnel will be an added advantage.
  • Must be able to read and write.
  • At least three years’ relevant working experience in a similar job preferably with an NGO.

Minimally Required Job-Specific Competencies:

  • Excellent communication skills. Good command of English language and ability to work in multi-cultural settings.
  • Excellent interpersonal skills – able to build good working relationships. Ability to share knowledge and experience.
  • Physically strong and fit.
  • Demonstrates knowledge of proper hygiene management and infection control
  • Remains calm, in control and in good humor even under pressure. Responds positively to critical feedback and differing points of views.
  • A high standard of hygiene in the kitchen and with relevant qualifications in food hygiene
  • Demonstrates a willingness to learn and widen his/her skills.
  • A pleasant personality with initiative, good interpersonal / communication skills
  • Willing to perform any other duties as may be assigned from time to time.

  • Self-Management and Teamwork: Ability to work independently or as a member of the team, ability to be detailed-oriented and consistently accurate, ability to manage stress effectively in a fast-paced environment, and ability to quickly learn new systems, processes and procedures and adapt local practices to global standards.
