Job Summary:   Under the direct supervision of the Area Coordinator (and dotted line to the Associate, Operations), the Logistics Officer/Driver is responsible for providing safe, reliable, and efficient transportation services for authorized Evidence Action personnel, materials, and goods, ensuring the seamless logistical support of Evidence Action’s operations. This role encompasses driving organizational vehicles, meticulous vehicle maintenance, comprehensive record-keeping, and providing administrative support as needed. The role holder will be responsible for safely transporting either cargo or passengers from one location to another, adhering to all safety regulations and organizational policies.

 

Key Duties and Responsibilities:

Logistical Support

  • Drive Evidence Action vehicle(s) for the transport of authorized passengers, luggage, and other items, ensuring a comfortable and secure journey
  • Ensure timely attendance at designated pick-up locations, adhering to schedules and maintaining punctuality
  • Deliver important documents, packages, and materials to required destinations, ensuring secure and timely delivery
  • Ensure the security and safety of all passengers, the vehicle itself, and any transported goods, both on and off the road, implementing preventative measures and responding appropriately to any emergencies
  • Manage vehicle fueling, ensuring accurate records of fuel consumption, and maintaining the cleanliness of the vehicle’s interior and exterior, ensuring a professional appearance
  • Keep up-to-date, accurate, and detailed records of trip schedules, daily mileage, vehicle condition reports, fuel records, and other relevant reports, presenting these records to management as required
  • Ensure valid documentation for passengers, items, or cargo within the vehicle, and provide assistance to passengers in disembarking, as well as loading and unloading of staff luggage and materials
  • Support location administrators in the meticulous review of fuel receipts for riders, confirming that recorded mileages accurately correspond with fuel consumption
  • Update and maintain the drivers’ work plan on a weekly basis, obtaining necessary approvals from their supervisors to ensure alignment with organizational schedules and priorities
  • Receive/take Evidence Action staff or visitors to different destinations, including field-based activities whenever they travel, ensuring they are safely transported to their destinations
  • Deliver and collect Evidence Action materials, documents, and correspondences to and from various locations, including upcountry locations/field offices, ensuring the secure and timely transfer of information and goods
  • Meet official Evidence Action personnel and visitors at the airport, when required, providing a professional and welcoming transportation service

Vehicle Care

  • Carry out meticulous routine checks on the assigned vehicle(s), including cooling systems, oil levels, water levels, basic electrical systems, tire pressure, and overall quality, to ensure that the assigned vehicle(s) is compliant, roadworthy, and maintained up to the established safety and security standards, inspecting fluid levels, timely servicing, checking of tires, brakes, car washing, and overall condition of the vehicle, and proactively addressing any potential issues
  • Adhere strictly to the scheduled maintenance of the assigned vehicle, ensuring proper functioning of the vehicle is maintained at all times, and promptly reporting any maintenance needs
  • Ensure that all instructions and security guidance provided by the supervisor and security focal point are strictly followed, maintaining situational awareness and adherence to safety protocols
  • In case of any incident or accident, ensure that all steps required by rules and regulations, or other internal procedures, are taken promptly and accurately, reporting incidents and completing necessary documentation
  • Maintain detailed vehicle logbooks in line with Evidence Action transport guidelines, ensuring accurate and comprehensive records
  • Ensure that the vehicle assigned is properly cleaned, serviced, and maintained in excellent condition at all times, reflecting a professional image
  • Work collaboratively with the transport office to ensure that licenses, parking stickers, insurance, and all other necessary documentation are fulfilled and are up to date at all times, preventing any operational delays
  • Comply with safe driving practices and adhere strictly to the Road Safety Act, prioritizing the safety of all road users
  • Ensure the availability of all the required documents/supplies, including vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, sanitizers, and necessary spare parts, maintaining preparedness for any situation
  • Swiftly follow up accident reporting procedures in the event of the project vehicle being involved in accidents, ensuring accurate and timely reporting
  • Perform appropriate/light preventive maintenance on the vehicle, proactively addressing minor issues to prevent major breakdowns
  • Report any mechanical breakdowns through the appropriate channel, providing detailed information to facilitate prompt repairs
  • Ensure that the assigned vehicle is clean at all times (interior and exterior), maintaining a professional appearance
  • Ensure the safety of the vehicle assigned to him, including identifying appropriate parking space, appropriate locking, and safe custody of other materials/equipment left in the vehicle, preventing theft or damage
  • Adhere to Evidence Action policies and procedures related to vehicle use, maintaining compliance and accountability
  • Ensuring their permits are always up to date and don’t wait for reminders

Office Administration Work Support

  • Support the Assistant Office Administration, in maintaining proper records of the inventory of office equipment, ensuring accurate and up-to-date records
  • Support the Assistant, Office Administration, in keeping the office tidy, by physical file and equipment organization, contributing to a well-organized workspace
  • Under the instructions of the Assistant Office Administration, support other departments on some select office activities, e.g., printing, scanning, filing, archiving, and storage, providing efficient administrative assistance
  • Any other duty assigned by the supervisor, demonstrating flexibility and willingness to support organizational needs

 

Key Performance Indicators (KPIs)

  • Timely logistical support in terms of passenger/parcels pick-up and drop-off
  • Passenger and vehicle safety (vehicle cleanliness, maintenance adherence, mechanical breakdown response time, permit validity, adherence to safety standards, among others)
  • Documentation compliance/record keeping accuracy (accuracy and completeness of trip schedules, mileage logs, fuel records, and vehicle condition reports)
  • Incident/accident reporting timeliness
  • Inventory record accuracy





Qualifications, Skills and Experience:

  • Minimum of minimum of High school education/ Certificate of Secondary Education (O’ Level Certificate (UCE) or its equivalent)
  • Must possess a valid driving permit with at least B and DL classes; class DH will be an added advantage
  • Certificate in Defensive Driving
  • Certificate in Motor Vehicle Mechanics or Preventive maintenance attained from a recognized institution will be an added advantage
  • A minimum of four (4) to five (5) years of accident-free driving with experience in a credible organization, preferably with NGOs
  • You have good working knowledge of all major local road networks and city streets
  • Detailed knowledge of road rules and regulations

Working conditions

The official working hours are 8:00am to 5:00pm from Monday to Friday. However, this job requires a flexible person as one may work beyond official working hours including weekends. In addition, the job holder may be given an assignment within a short period of time. This job is physically demanding so good physical and mental health are key.

 

Position Location

This role will be based in Jinja , Uganda.

We are unable to sponsor or take over sponsorship of Ugandan employment visa at this time. Applicants must be legally authorized to work in Uganda for roles based in Uganda.
