About the Company:

The Medical Research Council (MRC UK) is an internationally recognised centre of excellence with dominant research themes in the areas of HIV and emerging infections, vaccines and immunity, and chronic diseases and cancer. Through a multidisciplinary approach, intersecting basic science, epidemiological research, social-behavioural research and the conduct of new intervention evaluation studies, the Unit contributes knowledge on changing epidemics and diseases, the evaluation of innovative health care options, treatment and prevention and the development of health policy and practice in Africa and worldwide. Following the signing of strategic transfer agreements between the London School of Hygiene & Tropical Medicine (LSHTM) and the Medical Research Council (MRC UK), the Unit formally joined LSHTM on 1st February 2018. The exciting new partnership will boost research capacity into current and emerging health issues in Africa and throughout the world. The Unit is based at the UVRI Entebbe campus with established outposts in Kalungu, Masaka, Wakiso and Kampala Districts.

 

Job Summary:   The position holder is to provide administrative support to the HR functions in line with the organization’s policies and procedures.

 

Key Duties and Responsibilities:

Recruitment support;

  • Make copies of Adverts run and file them accordingly;
  • Upload application documents to the recruitment folder;
  • Printing off applications when needed;
  • Invite candidates for interviews;
  • Preparing interview packages; and,
  • Send out regrets to unsuccessful candidates.

Verification of academic documents;

  • Carry out verification of academic transcripts with the issuing institutions for new staff in a timely manner and ensure they are filed appropriately

Filing;

  • File all recruitment documents upon completion of any recruitment process;
  • Help in retrieving documents as requested;
  • Support the filing of other departmental records;
  • Receive, sort and dispatch mail that comes to the department; and,
  • Update tracker tools daily.

Performance Management;

  • Work with the HR in charge of performance management to arrange induction trainings for all new staff;
  • File all job descriptions, objectives and appraisal documents for all staff as provided by the supervisor;
  • Receive appraisal forms and submit them to the supervisor to pick relevant information; and,
  • Update the training needs tracker tool with trainings stated in the appraisal tools.

Contract and Exit management; –

  • Support contracts issuance and follow up with staff to submit signed off contracts timely;
  • Draft out notices of contract termination in alignment to the project end dates;
  • Support staff with the exit procedures; and,
  • File off staff exit forms upon submission to the HR Office.

Secretarial support

  • Draft out letters of undertaking for the staff as requested;
  • As advised, prepare and scan provided documents and file original copies;
  • Ensure confidentiality of departmental information all times; and,
  • Provide any other support as may be required by the department or as advised by the supervisor.





Qualifications, Skills and Experience:

  • Bachelor’s degree in Industrial/Organizational Psychology, Human Resource, Social Sciences, Arts or any other relevant field;
  • Additional training in Human resource management;
  • At least 2 years post training experience working in a busy HR environment in an international or research organisation;
  • Knowledge and experience working with MS Dynamics Navision;
  • Knowledge and experience working with HRMIS;
  • Knowledge and experience working with REDCAP;
  • Should possess Ms Office packages;
  • People skills;
  • Personal integrity;
  • Emotional resourcefulness;
  • Reliable and Flexible; and,
  • Result oriented.
