Key Duties and Responsibilities: The job holder shall have the following responsibilities:
Housing:
- Implement local administration procedures for accommodation including inventories, housing settlement and standards of condition / maintenance to ensure they are kept to the agreed standard and manage minor workplace accommodation change arrangements
- Supervise the lease agreements of company houses and ensure the implementation of the contractual agreements.
Company Assets
- Manage delegated contracts on behalf of the Facilities and Estates Lead, liaise with the Procurement department concerning scope and /or daily managed contracts and provide to the Head of Technical and maintenance Services the recommended weekly scheduling of maintenance tasks.
- Supervise the lease agreements of offices and ensure the implementation of the contractual agreements.
- Supervise Company warehouse requirements
- Follow up on inventory items
- Apply procedures for storage (proper conditions for material storage)
- Management of Company assets, ensuring to keep an updated asset inventory
Management of Services:
- Ensure a safe environment for staff and participants and maintain responsible operations of the company and programs at all times.
- Sourcing and overseeing contracts and service providers for functions such as cleaning, parking, security, and technology
- Assists in facility and space usage planning; advises administration on the application of institutional policy, regulations, and standards relating to the management of physical resources.
- Advising the company on measures to improve the efficiency and cost-effectiveness of the facility
- Planning for the future by forecasting the facility’s upcoming needs and requirements
- Ensure contractual compliance to general service activities with service providers.
- Technical analysis for call for tenders for contracts related to General Service activities
- Supervise company’s office services (mail, stationary, consumables, housekeeping, etc).
- Follow up with insurance policies concerning company assets or long-term lease items (expatriates/company vehicles, offices, furniture, etc.)
- Interlocutor with Company providers related to General Services
- Launch requests for call offs including writing work-scopes and requisitions related to General Service activities
- Validate general services purchases and services.
- Provide quality control support in terms of operation process, resolution time, and reduction in the number of complaints
- planning for future development in line with strategic business objective
Budget:
- Prepare expenditures and costs/expenditure of Facilities and Services
- Provide reporting to Department Manager regarding General Service activities and budget
Other business
- Propose, write and implement company procedures and policies related to Facilities and Services activities
- Carry out any other duties that may be assigned to him/her by the hierarchy
Qualifications, Skills and Experience:
- Qualification: Bachelor’s degree in administration or Technical/Engineering field.
Experience:
- Minimum 7 years’ experience in building Maintenance and Administration and facilities management
- Confidentiality, strong interpersonal skills are required
- Good organization skills and aptitude to work under stress
- Good HSE knowledge and awareness
