Job Summary: The Branch Operations Supervisor’s position is to provide supervisory support to all stake holders and ensure that the highest levels of efficiency are maintained while processing work, ensuring high productivity and excellent customer experience.
He/She is responsible for ensuring adherence to general controls and dual custody roles at the branch in close operation with the Head Teller. He/She is also accountable for the effective management of the Banking operations staff at the branch.
Key Duties and Responsibilities:
Transaction processing
- Authorizing all transactions above the teller operational limits after carrying out proper due diligence checks.
- Authorizing all workflow items after proper due diligence checks.
- Resolving any escalated suspicious transactions from the tellers.
- Escalating and following through issues which have not been resolved.
- Processing all loan pre checks and disbursements as per the laid down procedures.
- Ensuring high accuracy processing levels while adhering to policy, process and procedure and resolving errors highlighted immediately.
Customer service
- Ensuring proper management and resolution of customer’s inquiries and complaints as per the complaints management process.
- Resolving queries raised by the direct reports in a timely manner and escalating those that need the Branch Manager’s attention.
- Ensuring that the branch has adequate customer stationary all times.
- Oversight management of the banking hall operations to ensure clients are served in an orderly manner.
- Ensuring loans are disbursed in time and communicating to clients through their respective Officers or Supervisors.
- Ensuring banking information like Deposit Protection Fund, Bank of Uganda consumer guidelines etc. are available and accessible by clients before they choose products.
Treasury Management/ Finance function
- Planning accordingly and ensuring the Branch has enough liquidity to meet the daily cash needs.
- Approving client cash transfers through EFT/RTGS to the different banks.
- Preparing and submitting daily cash returns and reconciliation to Treasury.
- Ensuring client cheques are deposited to the bank for payment, monitoring their maturity and following up with Treasury department for clearing.
- Maintaining float for petty cash at the Branch and ensuring all vouchers are approved before payment and ensuring that petty cash payments are in line with FINCA Uganda policy.
- Preparing Branch Budgets and reporting significant variances to Management.
Control environment.
- Maintaining quality control on day-to-day branch operations and reporting any control lapses.
- Carrying out snap checks as per laid down procedures.
- Ensuring proper management of the branch suspense accounts as per laid down procedures.
- Ensuring timely reporting of branch incidents as per the laid down procedures.
- Oversight management of the security operations at the branch.
- Ensuring erroneous transactions reversed in real time.
- Ensuring proper document filing and safe custody.
- Ensuring adherence to operational limits.
- Closing all operational exceptions identified by Audit and compliance in the set timelines.
- Performing teller voucher call over activity as per the laid down procedures.
- Ensuring timely preparation and submission of branch reports.
- Working with third party service providers carrying out routine branch maintenance and updating the administration team as per laid down procedures.
- Identifying and reporting suspicious activity in line with the AML/CFT/KYC program as well as bank policies / regulatory framework.
Capacity building and People Management
- Ensuring the new Banking operations staff are well trained.
- Developing strong succession plans.
- Identifying staff refresher training needs and advising the Branch Manager to follow up with Capacity building and training Manager for training.
- With the oversight of the Branch Manager, creating an empowering environment for the branch staff encouraging individual ownership and initiative.
- Ensuring proper and effective staff leave management.
- Ensuring proper conflict management and resolution.
- Carrying out performance development and management roles with the direct oversight of the Branch Manager.
Business growth
- Contributing to the branch business growth initiatives, both savings and credit including but not limited to mobilizing depositors.
- Ensuring loan files have check lists and fully compliant with all requirements before loans are disbursed.
- Developing initiatives to improve processing efficiencies and branch cost control.
- Ensuring that branch meetings are held to discuss the general operations and profitability of the branch.
Qualifications, Skills and Experience:
- A bachelor’s degree in business administration or any other business-related field. Professional qualification is an added advantage.
- Minimum of 3 years work experience in Financial /Banking sector in Credit /Banking operations with Strong knowledge of banking operations, products, processes and procedures, practical knowledge of credit processes and procedures, practical knowledge of core banking applications and with thorough understanding of the MDI act.
