Job Summary: The THRIVE Operations, Administration and Communications Assistant will support and report to the Director of Operations, Strategic Integration and Partnerships. S/he will be responsible for providing strategic support in operations, communications, and administration to ensure Operational Excellence of THRIVE implementation by VFI and MFIs. This will be in the areas of FAST (Finance Accelerating Savings Group Transformation), Credi-Enterprise, Insurance, Agri/Climate Finance, EWV And Digitization. The primary responsibilities of this role include administration of workshops, conferences and meetings, travels, information management of the project, report writing and developing effective communications to raise the flagship of THRIVE 2030 across the partnership and beyond.
Key Duties and Responsibilities:
Data Management, and Reporting
- Coordinate with thematic leads, review, to ensure quality submission of monthly, quarterly, semi-annually, and annual donor reporting. Undertake first review process to clean up documents and layout before submission
- Develop quarterly key achievements consolidated power point presentations on behalf of the Operations Director.
- Maintain digital filing systems for THRIVE 2030 documents on teams and ensure all final approved documents are uploaded and key staff are aware of where various documents are located
Communications Support
- Ensures provisions of effective communications support focusing on the achievement of the following results:
- Support development of content for a Bespoke semi-annual and annual newsletter for THRIVE 2030 to be shared with VF and WV sector leadership starting with FY24 annual report key achievements to raise visibility of VFI as sustainability driver of WV programs.
- Support development of technical branding documents for THRIVE 2030
- Support with research and development of externally facing blogs for Thrive 2030.
Operational Coordination
- Ensures facilitation of knowledge building and management focusing on achievement of the following results.
- Organise bi-monthly catch-up meetings with EEBP leads on prioritised integration topics, prepare the agenda in consultation with the Operations Director and write minutes and key take aways for follow up.
- Organise quarterly review and thanksgiving meetings for EEBP team and minute taking.
- Facilitate participate quarterly in WVUS core team meetings in coordination with WVUS selected meeting lead for that period to review for sharing celebrations and pain points, with the objective of co-creation of solutions to identified challenges.
- Organise devotions for meetings (identify and engage with leads (rotation).
Administrative
- Provides administrative support to Operations Director focusing on achievement of the following:
- Coordinate travel arrangements, logistics, and accommodations for VFI in collaboration with WVUS THRIVE 2030 core team, participating in all core planning meetings e.g. (Ops Director travels, 3Cs Conference February, THRIVE Forum in July).
- Support Senior Finance Manager with budget tracking and monitoring for Thrive projects to ensure timeous conversations on solutions to address any challenges,
- Provide general administrative support to EEBP staff on prioritised issues by the Ops Director.
- Manage the schedule / calendar for the Operations Director with external and internal parties.
- Prepare moderately complex correspondence, on behalf of Operations Director for her approval and making follow-up when required.
- Provide general administrative support for any meetings and additional duties as deemed necessary by the Ops Director.
Qualifications, Skills and Experience:
- Bachelor’s degree in business administration, Communications, Operations, or related field.
- 2-3 years of experience in operations, communications, administration, or related field, preferably in microfinance, economic development, and livelihoods.
- Ability to communicate in a clear, concise, and unambiguous manner both through written and verbal communication; to tailor messages and choose communication methods depending on the audience.
- Time management and prioritization skills to scale up solutions and simplify processes in a timely and accurate way.
- Teamwork and collaboration ability to ensure continued learning
- Ability to adapt processes/approaches to new situations, involve others in change process. Able to persevere and deal with multiple sources of pressure simultaneously
- Ability to offer new ideas/open to new approaches, demonstrate systemic/integrated thinking
- Possess cultural sensitivity and awareness to enable diversity and inclusion: Facilitate conversations to bridge differences, considers in decision making.
- Have emotional intelligence and empathy. Demonstration of living our faith in action.
- Primary working language is English. Added advantage French and or Spanish.
Preferred Knowledge and Qualifications
- Strong analytical, problem-solving, partnering and communication skills.
- Proficient in MS Office (Excel, Word, PowerPoint)
- Good report writing experience
- Familiarity with NGO operations, grant management, and compliance
- Strong attention to detail, organizational skills, and time management
- Travel, Work and Language Requirements
- The position requires ability and willingness to travel domestically and internationally up to 5% of the time.
