Job Title:  Assistant F&A Officer Level 2

Reports to:  Finance & Administration Officer

 

About Organisation:

Kulika Uganda is a non-profit making organisation registered with the NGO- Board is a brainchild of Kulika UK which started in 1981. It was founded by Patricia Brenninkmeyer who had been a social worker in Uganda.

 

Job Summary:   To assist the F&A Officer with financial activities, coordinate day to day workflows of the Project Office.

 

Scope (allocation factors, authority & no of people supervised)

The Officer works with all project/program administrator to ensure financial compliance and cost effectiveness in the day-to-day operations of each unit.

  • Accounts
  • Procurement and logistics
  • Human resource administration

 

Key Duties and Responsibilities:

Financial support

  • Maintain financial records and an effective filing system
  • Completing daily and monthly bank reconciliations
  • Supporting the preparation of month-end financial reports
  • Maintain and manage a suitable stock of office stationery and inventory
  • Handle petty cash

Records Management

  • Create and maintain a proper filing system and ensure that all documents are properly
  • Ensure that all communications are properly referenced and recorded / filed organized, dated and filed in their corresponding locations
  • Keep updated records and files and maintain financial sheets with office expenses, petty cash requirements and costs

Administration

  • Provide administrative support
  • Coordinate employee requests for salary advance, leave absence etc and submit to the appropriate office
  • Procurement and Logistics administration
  • Manage supplier chain operations including information gathering, supplier enquiry handling, competitive bid verification and reporting
  • Facilities administration
  • Oversee the administrative function of the Office
  • Ensure office equipment is properly maintained
  • Ensure security and safety for all property, equipment
  • Undertake any other duties that may be requested by the supervisor




Qualifications, Skills and Experience:  

  • Diploma in business studies, accounting, or related courses
  • 2 years’ work experience in a similar position within the NGO sector.
  • Self-motivated and willing to handle extended work schedules with minimum supervision
  • Trustworthiness
  • High level of discretion, ethics and Integrity

Knowledge, Skills and Abilities

  • Excellent organizational and time-management skills to ensure that an office runs smoothly
  • Solid low-level accountancy and basic bookkeeping skills
  • Computer literacy and a working knowledge of accounting packages and other relevant applications, such as spreadsheets
  • Solid understanding of financial policies and procedures
  • Strong analytical skills to evaluate financial data
  • The ability to function well in a team, to provide support as needed
